About the role

Summary: Process customer inquiries and correspondence on all orders, complaints, deliveries, terms, order changes, service and related matters. Acknowledge orders and advises customers of order changes. Coordinate with customers, purchasing, warehouse and transport to fill resale and brokered material orders.

 

Duties and Responsibilities:

  • Request and negotiate rates for bulk truck (B/T), truckload (T/L), and less than truck load (LTL) shipments.
  • Schedule shipments with carriers and warehouses for bulk truck and truckload shipments, including carrier availability and load times.
  • Review sales analysis report to determine missing invoices. Follow up with carriers to obtain documentation.
  • Track freight spending and verify freight invoices. Consolidate carrier base and reduce overall freight expenses.
  • Establish new freight carriers and warehouse locations as needed.
  • Daily tracking of en-route and stationary railcars for all SPI business.
  • Contact rail companies about issues, notifying account manager, and working with both to resolve issues.
  • Calculate, evaluate and report demurrage for all SPI business.
  • Report directly to account managers and CSRs about delays in railcar shipments.
  • Daily tracking of railcar demurrage.
  • Daily reporting on released railcars for demurrage invoicing.
  • Weekly reporting to commercial group of idle railcars.
  • Conduct bi-monthly railcar meetings for updates and actions to move idle cars to released status.
  • Compile market data for monthly market presentations
  • Request compliance paperwork from producers as needed by customers
  • Create and update Technical Data Sheets (TDS) and Material Safety Data Sheets (MSDS)
  • Serve as back-up to Customer Service Representatives as needed.

 

International Logistics

  • Coordinate import and export shipments.
  • Process and submit documentation pertaining to OBL, AES filings, and customs.

 

Preferred Experience, Training, and Skills:

  • Excellent communication skills, self-motivated, self-starter, sense of urgency, and well-organized.
  • Demonstrated ability to build strong relationships at various levels.
  • Skilled in the use of basic computer software, including word-processing and spreadsheets.
  • Strong negotiation skills
  • 2-3 years Customer Service, Transportation or Materials Management experience.
  • Bilingual English/Spanish; fluent in both languages is a plus
  • Ability to perform multiple tasks.
  • Skilled in the use of basic computer software, including word processing and spreadsheets.
  • Support other administrative tasks as needed by management.

 

Preferred Education: Associates Degree in Business Administration, or related field with 2-3 years Customer Service, Transportation or Materials Management experience. Bachelor’s Degree a plus.

 

Working Conditions, Travel, and Physical Requirements:

  • Office environment.
  • Limited domestic and international travel.
