As we continue to expand, we are seeking a dynamic, results-driven Customer and Business Support Specialist to play a key role in both the financial health of the company and the retention and satisfaction of our clients. This role is a vital link between our operations, finance, and client service functions.


Role Overview:

As the Customer and Business Support Specialist, you will take full ownership of key business operations that directly impact client satisfaction and financial performance — including billing, collections, payroll, and customer success. You’ll work closely with senior leadership, including the Chief of Staff, VP of Commercial, and Executive Coordinator of Operations to implement efficient systems, strengthen client relationships, and ensure our back-office and customer-facing processes are seamless and impactful.


You will be the driving force behind making sure our clients feel supported, our team members are paid on time, and our financial workflows run smoothly. Key Responsibilities:

  • Personalized Client Experience + Monthly Check Ins – Lead personalized monthly check ins, overseeing the tracking of client preferences and key dates, and coordinating thoughtful gifts that reinforce our commitment to delivering exceptional, personalized service.
  • Client Database Management Oversight – Direct the management and organization of our client database, ensuring accurate, up-to-date information is always readily available for the team to access, leading to a seamless and efficient customer experience.
  • Cross-Team Collaboration & Coordination – Drive collaboration across operations and sales teams, aligning efforts to provide personalized updates, resolve service issues, coordinate site check-ins, and enhance the overall client experience. Play a key role in identifying upselling opportunities and supporting lead generation efforts to expand the customer base.
  • Accounts Receivable Management - Oversee the full accounts receivable process, ensuring timely and accurate collection of client payments. This includes tracking aging invoices, proactively following up on outstanding balances with clients via e-mail and phone outreach, resolving discrepancies, and maintaining clear records of all communications.
  • Billing and Invoicing - Generate and send out client invoices based on agreed-upon terms and verified service data. Coordinate with operations team to ensure accuracy, manage adjustments when needed, and work to continuously improve the clarity and efficiency of the billing process.
  • Payroll - Manage the collection and verification of time records, process payroll accurately and on schedule, and ensure all pay-related adjustments—such as overtime, bonuses, and deductions—are handled in compliance with company policies and regulations.


Qualifications:

  • Bachelor’s degree in Business Administration, Finance, Communications, or related field.
  • Fluent in English, both written and verbal, and can engage confidently with clients and teams alike.
  • Experience in customer success, collections, and revenue operations is a plus.
  • Proficient in Microsoft Office
  • Strong problem-solving and organizational skills
  • Self-starter with strong attention to detail and the ability to work independently and manage time effectively.
