About the role

This role is hybrid with 3 days in our Kansas City office.

 

Provides administrative and operational support to the Accounting and Finance leadership team, ensuring accurate execution of financial processes, regulatory compliance, and effective internal coordination and communication.

 

 

Financial, Banking and Treasury Operations

 

Processes invoices, cash transfer requests, benefit funding, equipment lease invoices, rental car damages and firm legal defense invoices.

 

Coordinates partner capital loans, tracks partner capital balances and supports banking relationships including account openings, updates and documentation.

 

Distributes quarterly financials to relationship banks and prepares banking resolutions for Executive Committee approval.

 

Supports credit card administration and resolves issues as needed.

 

 

Reporting, Audit and Budget Support

 

Posts monthly financial reports and standard rates to attorney intranet sites.

 

Assembles budget binders and supports preparation of financial reports, lease documentation, insurance renewals and audit materials.

 

Maintains accurate financial records and supporting documentation.

 

 

Leasing and Asset Administration

 

Maintains equipment lease schedules.

 

 

Partner, Tax and Compliance Support

 

Supports partner tax processes including Schedule K-1 and quarterly estimate distributions.

 

Maintains partner tax accountant lists and processes partner time entry adjustments.

 

Drafts employment verifications and supports compliance communications.

 

 

Client, Vendor and Credit Administration

 

Completes client supplier onboarding forms, credit applications, direct bill requests and credit card authorizations.

 

 

Executive, Committee and Governance Support

 

Leads the Accounting and Finance Planning Committee.

 

Keeps leadership informed of emerging issues and supports special projects and strategic initiatives.

 

 

Meetings, Travel and Department Coordination

 

Coordinates executive and department meetings, training sessions, events and travel logistics.

 

Manages expense reports, department lunches and city office travel arrangements.

 

 

Communications, Systems and Records Management

 

Maintains the Accounting and Finance Onelink page and departmental reference lists.

 

Prepares executive presentations and meeting materials.

 

Issues firmwide compliance reminders and administrative notifications on behalf of the CFO.

 

 

External and Regulatory Administration

 

Manages SAM.gov ((System for Award Management) renewals and directs external accounting inquiries.

 

 

Professional Leadership and Office Standards

 

Maintains strict confidentiality, professionalism and organizational standards.

 

Mentors Accounting Administrative Assistants and supports team development.
