Key Responsibilities
Facility Operations Management:
Oversee the day-to-day operations and maintenance of multiple regional facilities, ensuring optimal functionality and a safe working environment for employees.
Ensure the facilities comply with all relevant local regulations, health and safety standards, and environmental policies.
Monitor the performance of building systems, including HVAC, plumbing, electrical, and fire safety equipment, to ensure smooth operations and prompt issue resolution.
Vendor & Contractor Management
Manage relationships with third-party service providers, vendors, and contractors for various facilities-related services (e.g., cleaning, maintenance, security, waste management).
Negotiate contracts and service level agreements (SLAs), ensuring that vendors meet agreed-upon standards and timelines.
Monitor and evaluate vendor performance, addressing any performance issues to ensure high-quality services are delivered.
Preventive Maintenance & Repairs
Develop and implement a comprehensive preventive maintenance program for the region’s facilities to minimize downtime and reduce repair costs.
Coordinate regular inspections and assessments to identify areas of improvement, ensure compliance, and prevent potential issues.
Lead and supervise emergency repairs and corrective maintenance, ensuring minimal disruption to operations.
Space Planning & Utilization
Coordinate space planning and office layout changes to optimize the use of the facility and improve operational efficiency.
Collaborate with various departments to ensure the facilities meet their space and operational requirements.
Manage relocation and renovation projects, ensuring they are completed on time and within budget.
Budget Management & Cost Control
Develop and manage the budget for regional facilities, ensuring cost control and adherence to allocated funds.
Identify and implement cost-saving initiatives, such as energy efficiency improvements, waste reduction, or process streamlining.
Provide regular financial reports, tracking expenditures against the budget and highlighting variances to senior management.
Health, Safety & Compliance
Ensure that all facilities comply with health and safety regulations and that workplace safety standards are maintained.
Conduct regular safety audits and ensure corrective actions are taken when needed.
Coordinate emergency preparedness planning, including fire drills, evacuation plans, and first-aid training.
Environmental & Sustainability Initiatives
Drive sustainability efforts across regional facilities by promoting energy efficiency, waste reduction, and environmentally friendly practices.
Implement energy management systems and initiatives to lower energy consumption and support the organization’s sustainability goals.
Ensure compliance with environmental regulations and certifications.
Reporting & Documentation
Maintain accurate records of facility management activities, including maintenance schedules, work orders, compliance audits, and vendor contracts.
Provide regular reports on the status of facilities operations, maintenance issues, budget utilization, and health and safety compliance to senior management.
Maintain a detailed database of asset management for equipment and building infrastructure.
Collaboration & Stakeholder Engagement
Work closely with other departments, such as HR, IT, and Operations, to ensure that facilities-related needs and requirements are met.
Act as the main point of contact for facility-related inquiries or concerns from employees, departments, or external stakeholders.
Provide support for regional management teams in relation to facilities-related projects and improvements.
Qualifications
Education:
Bachelor’s degree in Facilities Management, Engineering, Business Administration, or a related field.
Certification in Facilities Management (e.g., IFMA, BOMA, or equivalent) is a plus.
Experience
5+ years of experience in facilities management, with at least 2 years in a supervisory or regional role.
Proven track record of managing multiple facilities, including vendor management, budgeting, and maintenance coordination.
Strong understanding of building systems (HVAC, electrical, plumbing, fire safety) and preventive maintenance programs.
Experience in managing office space planning, relocation, and renovation projects.
Skills
Excellent project management skills with the ability to prioritize tasks and manage multiple responsibilities.
Strong leadership and team management skills, with the ability to coordinate between departments and vendors.
Exceptional communication skills, both written and verbal, with the ability to present information clearly and concisely.
Strong analytical and problem-solving abilities, especially in emergency situations.
Proficiency in facilities management software (e.g., FMIS) and basic office software (Excel, Word, PowerPoint).
Knowledge of health, safety, and environmental regulations and the ability to ensure compliance.
