Job Title: Senior Proposal Writer/Manager
Location: Vadodara/Bengaluru
Key Responsibilities:
Proposal & SOW Development
- Develop end-to-end proposals for North American enterprise clients.
- Draft and structure Statements of Work covering scope, deliverables, milestones, assumptions, dependencies, roles and responsibilities, governance, SLAs/KPIs, transition plans, and commercial constructs.
- Develop proposals across IT Services and staffing, managed capacity, managed services, GCC, digital, technology, AI, and workforce solutions.
- Translate solution discussions and SME inputs into clear, concise, client-ready content.
- Ensure proposals clearly communicate the client’s business problem, services offering and solution, expected value, delivery approach, and differentiation.
RFP / RFI Management
- Manage proposal development from initial RFP/RFI review through final submission.
- Analyze client requirements and develop response structures and compliance matrices.
- Coordinate inputs across sales, delivery, solutioning, finance, legal, and other internal stakeholders.
- Consolidate multiple inputs into a consistent and professional narrative.
- Maintain quality, consistency, compliance, and accuracy throughout the proposal.
Executive & Client-Facing Content
- Develop strong executive summaries and solution narratives for senior client stakeholders.
- Convert complex technical and operational information into simple business language.
- Create proposal presentations and supporting client material using PowerPoint and Word.
- Customize messaging based on the client’s industry, business challenges, operating environment, and desired outcomes.
AI-Enabled Proposal Development:
The successful candidate should be highly comfortable using AI as part of the proposal-development process while maintaining strong human judgment, writing quality, and accuracy.
Responsibilities include:
- Use approved AI tools such as ChatGPT, Microsoft Copilot, Claude, or similar platforms to accelerate proposal development.
- Use AI to assist with initial drafts, proposal structures, RFP requirement analysis, compliance matrices, research synthesis, SOW language, executive summaries, and reuse of approved content.
- Take AI-generated drafts and rewrite and sanitize them into natural, client-specific, human-quality business language.
- Remove generic, repetitive, inaccurate, overly polished, or obvious AI-generated language before client submission.
- Ensure final proposals reflect the company’s voice and are specific to the client’s situation rather than appearing AI-generated or template-driven.
- Independently verify facts, case studies, capabilities, commitments, metrics, contractual language, and other material included in proposals.
- Exercise judgment regarding confidential client information, pricing, commercial terms, intellectual property, and other sensitive information when using AI tools.
- Help develop reusable, approved proposal content that can be effectively used with AI to improve proposal speed and consistency.
- Continuously identify opportunities to improve proposal quality and turnaround time through responsible use of AI.
AI should be used to improve productivity and quality. The Proposal Writer remains accountable for the thinking, accuracy, writing, and final client-ready output.
Proposal Content Library
- Develop and maintain reusable proposal assets.
- Maintain case studies, credentials, solution descriptions, delivery models, governance models, transition approaches, organizational structures, and approved SOW language.
- Create reusable content for the company’s North American sales and solutions teams.
- Improve proposal turnaround time without compromising customization or quality.
Required Experience
- 7–12 years of experience in proposal writing, bid management, presales, pursuit management, or solution writing.
- Demonstrated experience supporting North American clients and sales organizations.
- Strong experience developing SOWs and services proposals, not only RFP responses.
- Experience within IT services, technology consulting, staffing, workforce solutions, managed services, digital engineering, GCC services, or similar businesses.
- Strong understanding of services-based delivery and commercial models.
- Excellent written English with the ability to write for senior North American business and technology executives.
- Strong Microsoft PowerPoint and Word skills.
- Ability to work across multiple internal teams and manage deadlines in North American time zones.
- Hands-on experience using generative AI tools for professional proposal or business-content development.
Preferred Background
Candidates from organizations with strong proposal, pursuit, bid-management, or solutioning functions are preferred, particularly within:
- IT services and consulting
- Digital engineering
- GCC advisory or GCC enablement
- Managed services
- Technology staffing and workforce solutions
- Cloud, data, AI, and digital transformation services
What Success Looks Like
The successful candidate will be able to take an initial client requirement or solution discussion and independently turn it into a clear, differentiated, commercially sound, and executive-ready proposal or SOW.
The individual should combine strong writing skills, services understanding, business judgment, AI-enabled productivity, and the ability to work effectively with North American sales and client teams.
