Senior Operations Manager

Vishram International Services (VIS) | Ahmedabad (On-site) | 6 days/week (Mon–Sat)

About VIS

Vishram International Services (VIS) is an international company operating across international education, student mobility, and global workforce placement programs.

We work in a high-complexity environment involving international partners (schools, universities, employers), legal/compliance requirements and documentation, high-stakes delivery timelines, multi-country operations, and customer trust.

VIS India is in a scale-up phase. We are building systems, teams, and processes quickly, and we expect strong execution, speed, and ownership.

We are now hiring a Senior Operations Manager to bring structure, stability, accountability, and scalability to the organization. This is a high-impact execution leadership role, not a traditional administrative position.

The Role

As Senior Operations Manager, your mission is to turn strategy into reliable execution. Your job is to ensure that what VIS sells can be delivered efficiently, profitably, and at scale.

You will drive end-to-end execution across VIS India operations in Ahmedabad with cross-functional ownership of Marketing execution, Sales performance, Counseling/Recruitment operations, Documentation/Compliance delivery, HR operations, internal reporting, and team productivity.

What You Will Own

1. End-to-End Execution & Delivery (All VIS India Programs)

You will own execution across VIS India programs including high school international education programs, high school tours, higher education admissions support (UG/PG), internship and trainee programs, and work abroad/global workforce placements.

You will ensure clear ownership at every stage, on-time documentation and delivery, professional communication, and consistent quality and compliance.

2. Marketing Execution Ownership (Lead Generation System + Discipline)

You will not be the creative designer, but you will own marketing execution and outcomes by ensuring the marketing function operates with deadlines, accuracy, and measurable ROI. Responsibilities include:

Own the weekly marketing execution calendar and ensure campaigns, creatives, and landing flows are delivered on time.

Ensure correct lead routing, lead tagging, and source tracking so sales can execute properly.

Track marketing performance with dashboards: spend, leads, CPL, qualified leads, and conversion contribution (in coordination with sales).

Identify lead quality issues and take corrective action with targeting, messaging, and process changes.

Ensure marketing spend is controlled, approved, and tied to measurable outputs.

3. Sales & Conversion Execution (Pipeline Movement)

Ensure leads convert into admissions/placements through strong execution discipline:

Enforce speed-to-lead and follow-up discipline (including required follow-up attempts).

Monitor daily pipeline movement and conversion ratios counselor-wise and team-wise.

Fix bottlenecks causing drop-offs (slow follow-up, wrong counseling, process confusion, missing documents).

Ensure payment follow-ups, documentation follow-ups, and next-step actions happen daily.

Coordinate with marketing to improve lead quality and with counseling to improve conversion.

4. Counseling, Recruitment & Program Coordination

Ensure delivery workflows are executed smoothly across teams:

Coordinate counseling and recruitment operations so candidates move through stages without delays.

Ensure every candidate has a clear journey map, document checklist, and timeline.

Maintain operational visibility across country/program pipelines and stage-wise performance.

Ensure internal handoffs between sales, counseling, documentation, and delivery are clean and trackable.

5. Documentation, Compliance & Quality Control (Non-Negotiable)

Own the accuracy and discipline of documentation and compliance processes:

Build and enforce documentation checklists, folder structure, and quality control steps.

Reduce errors, rework, missing documents, and last-minute rushes through controls and SOPs.

Ensure deliverables sent to partners and candidates are accurate, verified, and approved through internal checks.

Track pending documentation daily and enforce closures within timelines.

6. HR Ownership (People, Performance, Discipline)

You will own HR execution for Ahmedabad operations in coordination with leadership, including:

Ensure hiring processes are followed: screening, interview coordination, onboarding checklists, and training schedules.

Drive performance culture through clear KPIs, productivity expectations, and weekly reviews.

Implement accountability systems: task ownership, deadlines, output reviews, and corrective action.

Identify underperformance early and drive improvement plans with documented follow-ups.

Ensure attendance, leave discipline, basic employee documentation, and operational HR processes are maintained.

7. Operational Stability & Scalability (Systems + SOPs)

Design, document, and optimize end-to-end operational processes. Build SOPs, checklists, dashboards, and control systems. Reduce dependency on individuals and enable scaling. Identify bottlenecks, risks, and inefficiencies and fix them permanently.

8. KPI Discipline, Dashboards & Reporting

Implement KPI-driven performance tracking across operations. Maintain accurate dashboards for leads handled and response time, follow-up attempts and conversion ratios, admissions and payments collected, pipeline movement stage-wise, documentation completion and pending items, program delivery progress by country/program, marketing ROI coordination, cost tracking, and manpower productivity.

Ensure weekly and monthly reporting is submitted on time with clear numeric dashboards.

9. Revenue, Margin & Cost Control

Own operational performance including revenue execution, margin discipline, cost control, and manpower productivity. Reduce operational leakage caused by delays, errors, missed follow-ups, and poor execution. Ensure spending decisions support profitability, not only volume.

10. Problem Solving & Bottleneck Removal (Core Responsibility)

A major part of this role is solving problems before leadership needs to intervene. You will be expected to detect execution issues early, diagnose root causes (not excuses), implement fixes quickly, and build preventive systems so problems do not repeat.

Examples include leads not contacted within SLA, low conversion due to poor follow-up discipline, documentation delays or repeated errors, pipeline stuck due to unclear ownership, missed deadlines due to slow execution, incomplete reporting, inaccurate data, and campaign execution delays.

Accountability (Read Carefully)

This role comes with direct accountability for results. You are responsible for execution quality and delivery reliability, team output and productivity, KPI performance and reporting discipline, pipeline movement, marketing execution discipline, HR performance discipline, and operational efficiency.

This is not a role where delays are explained. This is a role where delays are prevented.
