Role Overview
We are looking for a dynamic conference professional to lead end-to-end coordination and execution of conference products and experiences. This role requires someone who can bring together content, stakeholders, speakers, operations, and experience design to create impactful conference journeys from concept to execution. Beyond execution excellence, this role requires a strong business orientation, treating conferences as strategic business lines with ownership across growth, audience value, commercial alignment, and overall impact.
The ideal candidate is highly organized, detail-oriented, commercially aware, and capable of managing multiple moving parts across agenda development, speaker management, stakeholder coordination, budgets and on-ground execution.
Key Responsibilities
Conference Product & Business Management
● Drive end-to-end conference product planning and execution across formats including large scale conferences, leadership forums, experiential sessions, and customised experiences.
● Manage conferences as business lines with an understanding of audience value, positioning, commercial objectives, and growth opportunities.
● Support revenue and profitability goals through strong coordination across sponsorship, partnerships, delegate experience, and content strategy.
● Track budgets, cost structures, and execution priorities to ensure operational and commercial efficiency.
● Work closely with leadership to identify opportunities for conference expansion, new formats, and long-term growth.
Conference Concept & Experience Design
● Work closely with internal teams and external stakeholders to shape conference themes, tracks, and experience concepts.
● Translate strategic conference objectives into actionable execution plans and timelines.
● Coordinate cross-functional teams including content, design, marketing, partnerships, operations, and production.
● Support the development and curation of conference agendas aligned with industry trends and audience priorities.
● Coordinate session formats, flow, speaker sequencing, and content alignment.
● Maintain agenda documentation, speaker notes, and program updates across internal and external platforms.
● Ensure content quality, consistency, and seamless audience experience across sessions.
Speaker Management
● Manage end-to-end speaker engagement including outreach coordination, briefing, onboarding, scheduling, and communication.
● Build strong relationships with industry leaders, moderators, partners, and keynote speakers.
● Coordinate speaker deliverables including bios, session details, presentations, travel requirements, and rehearsals.
● Ensure speakers are well-prepared and aligned with conference objectives and experience standards.
Stakeholder Coordination
● Serve as a key coordination point between partners, speakers, sponsors, vendors, and internal teams.
● Manage timelines, follow-ups, approvals, and communication workflows.
● Ensure smooth alignment between conference vision and execution requirements.
Conference Execution
● Support end-to-end event execution including pre-event planning, rehearsal management, speaker movement, backstage coordination, and live session delivery.
● Troubleshoot real-time issues during conference execution with agility and ownership.
● Ensure seamless attendee, speaker, and stakeholder experience throughout the event lifecycle.
Process & Operational Excellence
● Maintain trackers, documentation, SOPs, and project management systems.
● Identify opportunities to improve conference workflows, coordination processes, and execution efficiency.
● Support post-event reporting, audience insights, and business performance reviews.

Preferred Experience
● 5+ years of experience in conferences, events, content production, media, or leadership forums.
● Experience managing large-scale conferences or business events.
● Exposure to conference business management, sponsorship alignment, or revenue-linked event planning is preferred.
● Familiarity with speaker management, agenda operations, and experiential event formats.
● Strong coordination skills across multiple stakeholders and timelines.
● Experience managing CXO-level stakeholders and strategic industry relationships.
