About the role
The Global Visa & Travel Operations will lead and manage end-to-end visa and travel processes for students and employees across multiple countries and nationalities. This is a high-volume, execution-focused leadership role requiring deep expertise in global immigration frameworks, strong embassy and vendor relationships, and the ability to manage complex, multi-origin travel scenarios. The role demands a hands-on leader who can oversee documentation, compliance, travel coordination, stakeholder communication, and team management while ensuring seamless global mobility operations.
Specifically, this role will involve
- Leading and overseeing complete student and employee visa processing across multiple destination countries.
- Managing high-volume visa applications with accuracy, efficiency, and strong compliance oversight.
- Ensuring timely submissions, documentation review, follow-ups, and approvals.
- Handling complex, sensitive, and escalated visa cases.
- Managing visa processes for diverse nationalities, not limited to a single country of origin. Maintaining strong understanding of global immigration regulations, documentation standards, and eligibility requirements.
- Anticipating and mitigating complexities arising from different origin-destination combinations. Building and maintaining strong working relationships with embassies, consulates, visa centers, and immigration authorities.
- Coordinating closely with airlines, travel vendors, insurance partners, and documentation service providers.
- Overseeing vendor performance and manage service-level agreements.
- Aligning visa timelines with travel planning and mobility schedules.
- Ensuring compliance with travel regulations including transit, entry requirements, and insurance mandates.
- Proactively managing risks related to travel disruptions or regulatory delays.
- Acting as the primary point of contact for visa and travel-related communication.
- Providing clear, accurate guidance to students and parents on documentation and compliance. Partnering with internal teams (admissions, operations, academics, leadership) to ensure smooth coordination.
- Managing escalations with professionalism and solution-oriented thinking.
- Ensuring strict adherence to international immigration laws and regulatory requirements. Maintaining robust documentation controls and data confidentiality standards.
- Tracking global regulatory updates and implement process changes proactively.
- Leading and managing the visa and travel operations team.
- Developing and standardising SOPs for documentation, tracking, and reporting.
- Implementing systems to improve efficiency, reduce errors, and enhance turnaround time. Establishing KPIs and performance dashboards for operational monitoring.
Ideal candidate will have
- 10+ years of experience in global visa and immigration operations.
- Proven experience managing multi-country visa processes.
- Strong exposure to high-volume student or global mobility operations.
- Demonstration capability of leadership experience & managing operational teams.
- Experience in coordinating closely with embassies and travel vendors.
