About the Role
We are seeking an experienced Senior HR Operations Analyst to support HR operations for a US-based company. This role is ideal for someone based in India who has strong experience with US HR operations, payroll coordination, benefits administration, employee relations, onboarding, offboarding, and employment compliance.
The ideal candidate is highly organized, detail-oriented, discreet, and comfortable working independently while collaborating closely with US-based leadership, finance teams, payroll providers, benefits vendors, PEOs, EORs, and compliance advisors.
Key Responsibilities
HR Operations
• Manage day-to-day HR operations for US-based employees, including employee records, onboarding, offboarding, documentation, policy administration, and HR process compliance.
• Maintain accurate employee data across HRIS, payroll, benefits, and document management systems.
• Support the creation, implementation, and maintenance of HR policies, employee handbooks, SOPs, forms, templates, and employee communications.
• Ensure HR records and employee files are complete, organized, accurate, and audit-ready.
• Coordinate with internal teams and external vendors to ensure smooth HR operations across the employee lifecycle.
• Support process documentation and help standardize HR workflows for consistency and scalability.
Payroll Coordination
• Coordinate US payroll processing with internal finance teams, payroll vendors, PEOs, EORs, or third-party providers.
• Review and validate payroll inputs, including new hires, terminations, salary changes, bonuses, deductions, leaves, benefits changes, and other payroll-related adjustments.
• Ensure payroll changes are submitted accurately and on time according to payroll schedules.
• Respond to employee payroll questions and assist in resolving payroll discrepancies in a timely and professional manner.
• Maintain payroll-related documentation and support internal reviews, audits, and reporting requirements.
• Partner with payroll providers and finance teams to ensure compliance with applicable payroll processes and requirements.
Benefits Administration
• Support administration of US employee benefits, including health insurance, dental, vision, retirement plans, leave programs, and other company-sponsored benefits.
• Coordinate benefits enrollment, open enrollment, qualifying life event changes, employee communications, and vendor follow-ups.
• Assist employees with benefits-related questions and escalate complex issues to vendors, brokers, or leadership as needed.
• Maintain accurate benefits records and ensure benefits changes are reflected correctly in payroll and HRIS systems.
• Support benefits reporting, invoice reconciliation, and documentation as needed.
• Help ensure employees receive timely and clear information regarding available benefits and enrollment processes.
Employee Relations
• Serve as a first point of contact for employee HR questions, concerns, policy guidance, and general HR support.
• Support managers with employee relations matters, including documentation, performance conversations, corrective action, conflict resolution, and policy interpretation.
• Maintain confidentiality and ensure employee matters are handled fairly, consistently, professionally, and in alignment with company policies.
• Assist with employee communications related to HR policies, workplace expectations, benefits, payroll, and compliance requirements.
• Escalate sensitive or complex employee relations matters to US leadership, legal counsel, or appropriate advisors when needed.
US Employment Compliance
• Track and support compliance with applicable US federal, state, and local employment requirements.
• Assist with new hire documentation, employment eligibility processes, wage and hour requirements, leave administration, workplace policies, required notices, and state-specific employment requirements.
• Help maintain compliant HR documentation, policies, employee files, and employment records.
• Monitor HR compliance deadlines, required employee notices, policy updates, and documentation requirements.
• Partner with US legal counsel, payroll providers, PEOs, benefits brokers, or compliance advisors when specialized guidance is required.
• Support internal HR audits and help identify gaps in compliance-related processes.
Hiring and Onboarding Support
• Support recruitment administration, including job postings, candidate coordination, offer letters, background checks, onboarding documentation, and employee setup.
• Coordinate new hire onboarding activities to ensure employees receive required documents, policies, benefits information, system access, and HR guidance.
• Ensure new hire information is accurately entered into HRIS, payroll, benefits, and other internal systems.
• Support offboarding processes, including exit documentation, benefits termination coordination, final payroll inputs, access removal, and employee record updates.
• Partner with hiring managers and leadership to improve the onboarding and employee experience.
Reporting and Process Improvement
• Prepare HR reports related to headcount, payroll changes, benefits enrollment, compliance deadlines, employee status, turnover, onboarding, and other HR metrics.
• Maintain HR dashboards, trackers, and documentation to support leadership visibility into HR operations.
• Identify gaps in HR processes and recommend improvements to increase accuracy, efficiency, compliance, and employee experience.
• Support implementation or optimization of HRIS, payroll, benefits, and document management tools.
• Help build scalable HR processes as the company grows.
Required Qualifications
• Bachelor’s degree in Human Resources, Business Administration, or a related field.
• 4+ years of HR experience, preferably supporting US-based employees, US clients, or US HR operations.
• Strong working knowledge of US HR operations, payroll coordination, benefits administration, onboarding, offboarding, employee relations, and compliance.
• Understanding of US employment practices, including federal and state-level HR requirements.
• Experience working with HRIS, payroll, benefits, PEO, EOR, or employee document management platforms.
• Strong written and verbal English communication skills.
• Ability to work independently from India while collaborating with US-based leadership and teams.
• Strong attention to detail, organizational skills, follow-through, and ownership.
• Ability to handle confidential employee information with discretion and professionalism.
• Availability for meaningful overlap with US business hours.
Preferred Qualifications
• SHRM-CP, SHRM-SCP, PHR, SPHR, or similar HR certification.
• Prior experience working with a US-based company, US staffing firm, PEO, EOR, payroll provider, or HR consulting firm.
• Experience supporting multi-state US HR requirements.
• Familiarity with platforms such as ADP, Paychex, Gusto, Rippling, BambooHR, Deel, Workday, TriNet, Justworks, or similar systems.
• Experience supporting distributed, remote, or cross-border teams.
• Experience coordinating with US payroll providers, benefits brokers, legal counsel, or compliance advisors.
• Strong knowledge of HR documentation, policy administration, employee lifecycle management, and HR reporting.
