Job Purpose
To manage Time Office operations, payroll processing, HRMS activities, internal audits, statutory compliance support, and general administration functions while ensuring accuracy, discipline, process compliance, and smooth office operations.
Key Responsibilities
Payroll Management
- Handle end-to-end monthly payroll processing through HROne.
- Process salary inputs including attendance, leave, overtime, incentives, deductions, arrears, and reimbursements.
- Generate salary slips, payroll MIS, and reports via HRMS software.
- Process full & final settlements, bonus, and salary revisions.
- Coordinate with finance/accounts team for salary disbursement.
- Maintain confidentiality and accuracy of payroll data.
- Handle complete Time Office activities including attendance, shift management, leave records, overtime, and manpower tracking through HROne.
- Monitor daily attendance and biometric system records.
- Verify absenteeism, late coming, overtime, shift allocation, and weekly offs.
- Coordinate with department heads for attendance regularization and manpower reports.
- Prepare monthly attendance MIS and reports for payroll processing.
- Ensure discipline and adherence to company attendance policy.
HR Operations & HRMS
- Maintain employee master database and records in HRMS.
- Handle onboarding documentation, employee code generation, confirmations, transfers, and exits.
- Update employee data, attendance policies, and leave records in HROne.
- Support HR documentation and audit requirements.
Internal Audit & Compliance
- Conduct internal audit for Time Office, payroll, HR, and administration processes.
- Verify attendance records, employee files, statutory records, payroll data, and compliance documents.
- Identify process gaps and ensure corrective action implementation.
- Prepare audit reports and compliance trackers.
- Ensure compliance with company SOPs and labour regulations.
Statutory Compliance Support
- Support PF, ESIC, PT, LWF, and labour compliance activities.
- Maintain records required for audits and inspections.
- Coordinate statutory documentation and compliance reporting.
General Administration
- Handle general administration and facility management activities at Head Office.
- Coordinate housekeeping, security, travel, stationery, vendor management, courier, and office maintenance.
- Maintain office assets and AMC records.
- Ensure smooth day-to-day office operations and employee support services.
MIS & Reporting
- Prepare monthly Time Office, payroll, HR, administration, and audit MIS reports.
- Generate reports from HROne for management review.
- Maintain attendance dashboards and compliance reports.
Required Skills & Competencies
- Strong knowledge of Time Office operations and payroll processing.
- Hands-on experience in HROne HRMS.
- Good understanding of attendance systems, labour compliance, and audits.
- Strong analytical and coordination skills.
- Good command over MS Excel and MIS reporting.
- Process-oriented with high accuracy and confidentiality.
Qualification & Experience
- Graduate / MBA-HR preferred.
- 6–8 years of experience in Time Office, payroll, HR operations, and administration.
- Manufacturing industry experience preferred.
- Experience in handling biometric attendance and HRMS systems is must
