Job Purpose
The HR & Admin Executive will be responsible for executing day-to-day HR operations and managing administrative functions of the organization, including employee documentation, attendance management, recruitment coordination, office administration, and facility support.
Roles & Responsibilities
1. HR Operations
- Manage employee joining and exit formalities.
- Maintain employee personal files and HR database.
- Issue appointment letters, confirmation letters, and relieving letters.
- Maintain HR documentation and records.
2. Recruitment Coordination
- Post job openings on recruitment platforms.
- Screen applications and coordinate interview scheduling.
- Communicate with candidates regarding interview schedules and documentation.
- Maintain candidate database.
3. Attendance & Leave Management
- Track daily employee attendance.
- Maintain leave records and attendance registers.
- Prepare a weekly attendance summary for payroll processing.
- Monitor late coming and absenteeism.
4. Payroll Support
- Provide attendance and leave data to accounts for payroll processing.
- Verify overtime and leave deductions.
5. HR Compliance Support
- Maintain statutory registers and employee records.
- Maintain documentation related to contract labour.
6. Employee Support
- Address employee queries related to attendance, leave, and HR policies.
- Handling employee grievances and communication.
- Support training and employee engagement activities.
Administrative Responsibilities
1. Office Administration
- Manage office supplies, stationery, and inventory.
- Maintain office records and administrative documentation.
2. Travel Management
· Book domestic & international travel tickets.
· Arrange hotel accommodation.
· Coordinate visa documentation.
· Maintain travel expense records.
3. Facility Management
- Supervise housekeeping, security, and office maintenance.
- Ensure cleanliness and upkeep of office and factory premises.
- Coordinate repair and maintenance of office facilities.
4. Vendor & Service Coordination
- Coordinate with vendors for office maintenance, housekeeping, and services.
- Monitor service quality and maintain vendor records.
· Handle AMC contracts (AC, DG set, elevators, etc.).
· Coordinate with utility vendors (electricity, internet).
5. Asset Management
- Maintain records of office assets such as laptops, furniture, and equipment.
- Track asset allocation to employees.
Qualifications
- Bachelor’s degree in Human Resources / Business Administration / Commerce
- MBA in HR preferred
Experience
- Minimum 4 years of experience in HR operations or administration
- Experience in a manufacturing environment preferred
Key Skills
- Knowledge of HR processes and documentation
- Basic understanding of labour laws
- Strong organizational and coordination skills
- Good communication and interpersonal abilities
- Proficiency in MS Excel and office software
