.Job Description – Senior Executive, Operations
Job Summary
The Senior Executive – Operations is responsible for managing end-to-end certification and training operations, ensuring efficient planning, coordination, documentation, client support, financial coordination, and compliance with applicable accreditation and certification requirements. The role works closely with internal teams, auditors, external resources, vendors, and clients to ensure seamless execution of operational activities.
Key Responsibilities
- Plan, schedule, and coordinate certification audits, including auditor assignments, documentation, system updates, and certificate issuance.
- Manage end-to-end operational activities related to certification and training programs.
- Coordinate with internal teams to ensure timely submission of audit reports, certification documents, and training certificates to clients.
- Share required audit evidence and maintain records as per organizational and accreditation requirements.
- Update and maintain operational trackers, including planning, outstanding activities, attrition, and other operational dashboards.
- Serve as the primary point of contact for clients by handling queries, sharing audit schedules and required documentation, and providing end-to-end operational support throughout the certification and training lifecycle.
- Generate invoices, track customer payments, coordinate auditor and vendor payouts, and maintain accurate financial records in collaboration with the Accounts team.
- Coordinate with External Resources (ERs) and vendors to ensure timely submission of bills and supporting documents for processing.
- Maintain accurate audit, certification, and training records while ensuring compliance with applicable accreditation requirements and internal procedures.
- Coordinate the onboarding of External Resources (ERs), manage agreements, and ensure timely renewals and record maintenance.
- Work closely with the Planning and Quality teams to compile and submit operational and quality performance indicators, including Customer Satisfaction (C-SAT), Auditor Utilization, Cost of Delivery, Red Lights, and other key metrics.
- Monitor operational timelines to ensure timely completion of audits, technical reviews, and certificate issuance.
- Support internal and external audits by maintaining complete, accurate, and compliant documentation.
- Identify operational gaps, recommend process improvements, and contribute to continuous improvement initiatives that enhance operational efficiency and customer satisfaction.
- Collaborate effectively with cross-functional teams to ensure smooth execution of operational activities and achievement of organizational objectives.
