Company Description
ZOBOX operates in the mobile phone and electronics industry through retail, wholesale, B2B, B2R, franchise, and other sales channels. We are looking for a responsible and experienced Senior Accountant who can independently manage accounting operations, statutory compliance, inventory accounting, reconciliations, and management reporting.
Role Description
The Senior Accountant will be responsible for maintaining accurate books of accounts, completing monthly financial closing, managing GST and TDS compliance, controlling receivables and payables, reconciling inventory and financial transactions, and preparing timely MIS reports.
The candidate should have strong practical knowledge of BUSY Accounting Software, Microsoft Excel, GST, TDS, inventory accounting, and financial reporting. The person will also review the work of junior accounting team members and coordinate with auditors, consultants, banks, vendors, and internal departments.
Qualifications
Bachelor’s degree in Commerce, Accounting, Finance, or a related discipline.
M.Com, CA Inter, CMA Inter, MBA Finance, or a similar professional qualification will be preferred.
Minimum 5–8 years of relevant accounting experience.
At least 2 years of experience in an independent or supervisory accounting role will be preferred.
Experience in mobile phones, electronics, retail, e-commerce, trading, distribution, or another inventory-intensive business will be an advantage
Required Skills
Advanced working knowledge of BUSY Accounting Software and Microsoft Excel.
Strong Excel skills, including Pivot Tables, XLOOKUP/VLOOKUP, SUMIFS, data reconciliation, and MIS preparation.
Practical knowledge of GST, TDS, income tax, payroll accounting, and audit requirements.
Strong understanding of inventory accounting, stock valuation, and stock reconciliation.
Ability to analyse large volumes of financial and transactional data.
High attention to accuracy, confidentiality, and deadline management.
Ability to independently manage accounting operations and supervise junior accountants.
Experience with ERP integrations and accounting automation will be an advantage.
Key Responsibilities
1. Accounting Operations
- Manage day-to-day accounting of sales, purchases, receipts, payments, expenses, and journal entries.
- Record and verify debit notes, credit notes, sales returns, purchase returns, discounts, incentives, and commissions.
- Maintain accurate ledgers for customers, vendors, employees, franchise partners, and other business parties.
- Ensure that all accounting entries are supported by proper invoices, vouchers, approvals, and documentation.
- Review accounting entries and vouchers prepared by junior accountants.
- Maintain proper cost-centre, branch, store, and business-channel accounting.
- Ensure correct classification of revenue, expenses, assets, liabilities, and inventory transactions.
2. GST and Statutory Compliance
- Prepare and file GSTR-1, GSTR-3B, and other applicable GST returns within prescribed timelines.
- Perform monthly purchase reconciliation with GSTR-2B.
- Identify input tax credit mismatches and coordinate with vendors for correction.
- Verify GST rates, HSN/SAC codes, place of supply, e-invoices, and e-way bills.
- Calculate, deduct, deposit, and reconcile TDS.
- Prepare and file quarterly TDS returns and arrange Form 16/16A, wherever applicable.
- Assist with income-tax assessments, statutory audits, tax audits, and other regulatory requirements.
- Maintain proper records and supporting documents for statutory compliance and audits.
- Track all compliance deadlines and ensure that penalties and late fees are avoided.
3. Inventory Accounting and Control
- Maintain accurate accounting of mobile phones, accessories, spare parts, and other inventory.
- Reconcile physical stock with BUSY, ERP, warehouse, and store records.
- Verify stock transfers between warehouses, stores, service centres, and other locations.
- Monitor stock valuation, damaged stock, shortages, excess stock, ageing inventory, and inventory adjustments.
- Investigate and report inventory variances.
- Ensure that purchase costs, freight, taxes, discounts, and other applicable costs are correctly considered in inventory valuation.
- Coordinate with warehouse, procurement, retail, and operations teams for stock reconciliation.
- Support periodic physical stock audits and ensure timely closure of discrepancies.
4. Accounts Receivable
- Maintain accurate customer and partner ledgers.
- Prepare receivable ageing reports and monitor overdue payments.
- Reconcile customer accounts and resolve differences in invoices, receipts, deductions, and credit notes.
- Coordinate with sales, franchise, B2B, and collection teams for payment follow-ups.
- Track advances, security deposits, claims, incentives, and other recoverable amounts.
- Provide management with regular updates on outstanding and overdue receivables.
5. Accounts Payable
- Verify vendor invoices, purchase orders, goods receipt records, approvals, and supporting documents.
- Prepare vendor payment schedules based on approved credit terms.
- Reconcile vendor ledgers and resolve outstanding differences.
- Verify applicable GST and TDS treatment before processing payments.
- Monitor advances paid to vendors and ensure timely adjustment.
- Prevent duplicate, unsupported, or incorrect payments.
6. Banking and Reconciliation
- Perform daily or periodic bank reconciliations for all company bank accounts.
- Reconcile cash collections, UPI payments, card settlements, payment gateways, marketplaces, and other collection channels.
- Reconcile inter-branch, inter-store, and intercompany transactions.
- Monitor unidentified receipts and payments and ensure timely resolution.
- Verify bank charges, interest, loan repayments, and other banking transactions.
- Maintain proper records of loans, advances, deposits, and guarantees.
7. Financial Closing and MIS
- Complete monthly, quarterly, and annual closing of accounts within defined timelines.
- Prepare monthly Profit & Loss statements, Balance Sheets, and cash-flow reports.
- Prepare store-wise, branch-wise, channel-wise, and business-segment-wise profitability reports.
- Prepare separate profitability analysis for retail, B2B, B2R, franchise, and other applicable business channels.
- Analyse actual performance against budgets, targets, and previous periods.
- Report unusual expenses, margin variations, losses, outstanding balances, and financial risks.
- Prepare management dashboards and MIS reports for business decision-making.
- Assist management with budgeting, forecasting, and working-capital planning.
- Ensure that financial reports are accurate, complete, and supported by reconciled data.
8. Audit and Internal Controls
- Coordinate with statutory auditors, tax consultants, internal auditors, and Chartered Accountants.
- Provide ledgers, schedules, reconciliations, invoices, and supporting documents for audits.
- Resolve audit observations and maintain audit-ready accounting records.
- Implement and monitor internal financial controls.
- Identify weaknesses in accounting processes and recommend improvements.
- Ensure compliance with company policies, approval limits, and financial procedures.
- Maintain strict confidentiality of the company’s financial and commercial information.
9. Team Supervision and Coordination
- Supervise and review the work of junior accountants and accounting executives.
- Allocate tasks and ensure adherence to accounting and compliance timelines.
- Train team members on BUSY, accounting processes, documentation, and reconciliation requirements.
- Coordinate with sales, purchase, warehouse, HR, operations, and management teams.
- Ensure timely resolution of accounting-related queries and discrepancies.
