Role Description: This is a full-time, on-site role based in Mumbai for a Secretary to Director at SISMVF. The Secretary to the Director will provide end-to-end executive support, including managing calendars, scheduling meetings, coordinating travel, and organizing appointments and events. The role involves handling correspondence, drafting letters and emails, preparing reports and presentations, and maintaining accurate records and files. The individual will serve as a key point of contact between the Director and internal/external stakeholders, ensuring timely communication and follow-up on action items. The Secretary to the Director will also support meeting preparation, take minutes, track deadlines and priorities, and perform general clerical and administrative tasks to ensure the smooth functioning of the Director’s office.
Qualifications
- Strong Executive Administrative Assistance and Personal Assistance skills to support senior leadership effectively.
- Proficient in clerical skills, including document management, filing, data entry, and office organization.
- Excellent Communication skills, both written and verbal, to liaise with diverse stakeholders professionally.
- Proven Diary Management and scheduling abilities, including handling multiple calendars, priorities, and deadlines.
- Proficiency with office software (e.g., MS Office or Google Workspace) and comfort with digital tools and video conferencing platforms.
- High level of discretion, reliability, and professionalism when handling confidential information.
- Strong organizational and time management skills, with the ability to work independently and under pressure.
- Relevant diploma or bachelor’s degree in administration, management, or a related field is preferred; prior experience supporting a senior leader or director is an advantage.
