You’re the first hello, the go-to problem solver, and the person who keeps everything moving! As the Office Coordinator, you are the face of Sealing Devices - creating a welcoming, professional experience for everyone who walks through our doors. This onsite role is at the center of it all: managing front office operations, coordinating communication and logistics, supporting workplace services, and helping teams across the organization stay organized, connected, and running smoothly. This role is 8 AM- 5 PM in Lancaster, NY.
Key Responsibilities:
- Be the face of Sealing Devices! Greet visitors, clients, and employees with a warm, professional, and confident presence
- Serve as the central hub for communication by answering, screening, and directing calls
- Manage the full visitor experience, including check-ins, badges, and security protocols
- Keep our front office polished, organized, and welcoming at all times
- Coordinate catering and lunches for meetings, trainings, and company events
- Support lunchroom and vending operations across campus—keeping spaces stocked, clean, and running smoothly
- Own incoming mail and deliveries—ensuring everything gets where it needs to go
- Jump in where needed with administrative support like scheduling, document prep, and organization
- Assist the training team with new hire orientation logistics, including scheduling presenters and coordinating meals
- Create employee ID badges and support internal systems that keep things running efficiently
- Assist the Safety team with maintaining up-to-date emergency evacuation lists
- Help keep office supplies, meeting rooms, and shared spaces fully stocked and ready to go
- Collaborate across departments—because you’re a key player in keeping everything connected
Qualifications:
- High school diploma or equivalent required; associate’s degree preferred
- 1–3 years of experience in an administrative, coordination, or customer-facing role
- Strong communication skills with a friendly, professional, and approachable presence
- Excellent organizational and multitasking abilities in a fast-paced environment
- High attention to detail with the ability to handle confidential information with discretion
Salary ranges for this position are determined based upon the job location and can be adjusted based upon experience, reflecting our commitment to valuing the expertise and contributions of our individual team members. Salary range for this role is $18.00 - $22.00 per hour.
