Reclaim Coordinator (Manufacturing)

Position Overview

The Reclaim Coordinator will serve as the key link between our Customer Service, Sales, and Shipping & Receiving teams to manage all reclaim and warranty activities. They will also work closely with our recycling partners. This role ensures recycled materials are properly tracked, evaluated, and compensated, while maintaining strong communication with both internal teams and external partners. 

The Reclaim Coordinator will oversee each request from start to finish, ensuring accuracy, efficiency, and compliance. 

Essential Functions

• Customer Service Support
  • Work closely with the Customer Service department.
  • Summarize reclaim and warranty activity monthly for Customer Service and Sales teams.
  • Assist with administrative tasks
• Reclaim & Warranty Management
  • Track and manage every reclaim and warranty request from start to finish.
  • Send proposals to customers/vendors for recycled material.
  • Evaluate warranties in the app and reconcile recycled material with tally sheets.
  • Ensure proper payments are issued to customers and recyclers for recycled material and warranty evaluations.
• Logistics & Coordination
  • Manage availability and scheduling at recycling sites.
  • Coordinate pick-up and delivery dates for large reclaims.
  • Receive proof of delivery (POD) for every shipment, update logs, and follow up with recyclers.
  • Collaborate with the Freight team to ensure visibility and traceability of shipments.
• Financial Accuracy
  • Verify and ensure accurate payments are made to customers/vendors and recyclers.
  • Maintain up-to-date records of proposals, tally sheets, and Proof of Deliveries 

Collaboration & Communication

• Partner with the Freight team to align load assignments and shipment tracking.
• Maintain proactive communication with recyclers, customers, and internal departments.

Qualifications

• Strong organizational and tracking skills with attention to detail.
• Ability to work cross-functionally with Customer Service, Sales, and Freight teams.
• Experience in logistics, recycling, or customer account management preferred.
• Proficient in Microsoft Office/Excel and comfortable with tracking apps or databases.
• Excellent communication and problem-solving skills.
