Role Overview
The Sales Coordinator - Export will provide critical administrative and operational support to the international sales team. This role focuses on coordinating export sales activities, managing documentation, facilitating communication with overseas clients and agents, and ensuring smooth order execution from inquiry to shipment.
Key Responsibilities
- Handle end-to-end export sales coordination, including inquiry management, quotation preparation, and order processing.
- Prepare and manage export-related documentation such as Proforma Invoices, Commercial Invoices, Packing Lists, Certificate of Origin, and other shipping documents in compliance with international trade regulations.
- Coordinate with production, logistics, freight forwarders, and customs brokers to ensure timely order fulfillment and shipment.
- Maintain regular communication with international clients, distributors, and sales agents to provide updates on orders, technical specifications, and after-sales support.
- Update and maintain the CRM / sales database with accurate client information, quotations, and order status.
- Assist in market research, identification of new export opportunities, and participation in international trade exhibitions (as required).
- Ensure compliance with export policies, including documentation for LCs, payments, and regulatory requirements.
- Support the sales team in preparing presentations, product catalogs, and technical documentation for overseas clients.
- Monitor pending payments, follow up on receivables, and coordinate with accounts for timely collections.
- Handle customer queries related to product availability, pricing, lead times, and technical specifications.
Qualifications and Experience
- Bachelor’s degree in Business Administration, International Trade, Commerce, or Engineering (Mechanical/Production preferred).
- 2–5 years of relevant experience in Export Sales Coordination, preferably in machinery, capital goods, pharmaceutical equipment, or packaging industry.
- Strong knowledge of export documentation, Incoterms, Letter of Credit (LC), and international shipping procedures.
- Experience with ERP systems and CRM tools will be an advantage.
Required Skills
- Excellent written and verbal communication skills in English (mandatory). Proficiency in any additional foreign language (Arabic, Spanish, French, or Russian) will be a significant advantage.
- Proficiency in MS Office (Excel, Word, PowerPoint) and Google Workspace.
- Strong organizational and multitasking abilities with high attention to detail.
- Ability to work independently and as part of a team in a fast-paced environment.
- Understanding of technical aspects of packaging machinery is desirable.
