JD _ Sales Coordinator

Established in 1910, the Shivji Valji Group is a leading player in weather protection products and services. We manufacture tarpaulins and allied products and provide weather protection services such as relocatable warehouses and raw material stockpile covering for leading organizations on a pan-India basis.
Role Overview
We are looking for a Sales Coordinator who will act as the backbone of the B2B sales function, supporting the sales team across enquiries, quotations, documentation, follow-ups, order processing, and coordination with operations, finance, and sites.
This role is not telecalling. It requires strong exposure to project-based sales, rentals/services businesses, structured follow-ups, and commercial documentation.
Key Responsibilities
Sales Support & Coordination
- Act as the central coordination point between sales, operations, finance, and site teams
- Track all inbound enquiries (email, WhatsApp, calls) and ensure timely assignment and follow-up
- Maintain enquiry, quotation, and order status trackers
- Support sales managers with day-to-day coordination and execution
Quotation, Order & Documentation Management
- Prepare and circulate quotations, revisions, work orders, and commercial documents
- Ensure accuracy of scope, rates, duration, mobilization/demobilization terms, and billing milestones
- Maintain proper version control of quotations and approvals
- Coordinate PO receipt, amendments, and commercial clarifications with clients
Client Follow-ups & Commercial Communication
- Proactively follow up with clients for:
- Quotations
- PO release
- Contract signing
- Advance payments
- Handle professional B2B communication via email, WhatsApp, and phone
- Coordinate with client procurement / project / commercial teams
Sales MIS, CRM & Reporting
- Maintain structured Sales MIS:
- Enquiry funnel
- Quote-to-order conversion
- Order pipeline
- Lost order analysis
- Update CRM / Excel trackers on a daily basis
- Generate weekly and monthly sales coordination reports
Internal Coordination (Critical)
- Coordinate with:
- Operations for feasibility, timelines, and execution readiness
- Finance for pricing inputs, credit terms, invoicing triggers
- Stores/logistics for availability and deployment planning
- Ensure smooth handover from sales → execution
Required Skills & Competencies (Hard Skills Focus)
- Strong working knowledge of Excel (trackers, MIS, follow-ups)
- Experience handling B2B clients and structured sales processes
- Exposure to project-based / service / rental billing models
- Ability to manage multiple enquiries and priorities simultaneously
- Strong written and verbal communication (email + WhatsApp etiquette)
- Comfort working with senior sales managers and cross-functional teams
- Familiarity with CRM systems is a plus (Zoho, Salesforce, or similar)
Preferred Industry Exposure
Candidates from the following backgrounds will be preferred:
- Industrial services
- Temporary sheds / steel structures / PEB / infra services
- Equipment rental or project contracting companies
- EPC, logistics, warehousing, or plant services
- Experience in GEM (Handling Tender and Auctions on government portal)
- The candidate should be well versed with the GeM portal, including participation in reverse auctions and various bidding processes.
Qualifications
- Graduate (Commerce / Management / Engineering preferred)
- 2-6 years of experience in Sales Coordination / Sales Operations / Commercial Support
- Experience in B2B, project-driven environments is mandatory

Salary - 25,000/- to 40,000/- Per Month
