We are seeking a motivated and detail-oriented People Operations Specialist to join our team and support Rubrik's Contractor Hiring Program. This role will be based out of Rubrik's Palo Alto, CA office. What You'll Do Contractor Program Management (40%) Upkeep a log of project tasks with owners including required timelines, communication plans and dependencies. Flag requirements open requirements needing attention each week. Participate in the creation of presentations to stakeholders, summarizing project progress, key insights, and recommended actions. Assist in the creation and implementation of process improvements to enhance the efficiency and effectiveness of the Contractor Hiring Program. Capture and document "Contractor Hiring Current State," opportunities and desired future state. Create documentation on best practices, FAQs, and hiring processes for contractor worker hiring and management. Ensure the end-to-end process of Rubrik's Contractor Hiring Program is documented for internal stakeholders. Work with the Data Management team to pull and analyze reports of current active contractors and work with relevant stakeholders to determine proper worker classifications. Talent Coordination (30%) Send offer letters and initiate background checks Provide backup support for scheduling phone, video, and onsite interviews Provide backup onsite interview support to ensure excellent candidate experience Data Management and Other Responsibilities (30%) Complete time sensitive transactions in Workday such as: Immediate terminations, hiring, or job changes Provide People Operations teams with miscellaneous support as needed such as updating content on Rubrik's intranet, process documentation Provide backup support for HR@ inbox triaging and new hire onboarding (i9 verification & New Hire Comms) as needed Preferred Qualifications & Experience You'll Need Currently pursuing Bachelor's degree in Human Resources, Business Administration, or a related field with expected graduation date in Spring 2025. Previous internship with an HR team is preferred Strong analytical skills with the ability to interpret and present data clearly. Excellent communication skills, both written and verbal. Proficiency in Excel and/or Google Sheets. Strong organizational skills and attention to detail. Ability to work collaboratively in a team environment.
