Summary
Job Summary
Coordinates administrative operations and dispatch for fire alarm and suppression system services. Handles incoming calls, prioritizes emergencies, dispatches technicians, and maintains accurate records. Supports the Operations Manager with scheduling, communication, and workflow coordination while ensuring efficient operations and adherence to safety protocols. Strong organization and the ability to perform under pressure are essential.
Essential Duties
· Act as the primary administrative support for the Operations Manager, managing their schedule, arranging meetings, and preparing necessary documentation.
· Coordinate and schedule inspection appointments based on availability, location, and client requirements.
· Serve as the primary point of contact for client inquiries regarding appointment scheduling and service updates; ensure that all inspections are completed in a timely manner and that technicians are prepared to complete the job.
· Assist with tracking project timelines, managing documentation, and coordinating with team members to support efficient workflows and ensure deadlines are met.
· Manage document control for projects, including permits, plans, change orders, and compliance documentation.
· Serve as the primary point of contact within the division, managing internal and external communications while supporting clients, vendors, and subcontractors by addressing inquiries and coordinating updates to maintain strong working relationships.
· Prepare and maintain various reports, track project status, and compile data as needed for management.
· Ability to learn Service Trade platform.
· Assist in other departmental tasks when needed.
· Creating work schedules, delegating tasks, and ensuring workflow procedures are implemented.
· Developing strategies for better workplace efficiency, goal achievement, and team performance.
· Ability to travel to jobsites and government buildings for plans and other documents as needed.
· Valid Driver’s License

Related Experience
· Previous administrative experience required
· Dispatch experience is preferred but not required.
Safety/Physical Requirements
· Ability to lift up to 20lbs.
· Mostly sedentary position.
· Some walking and standing required.
Education
· Highschool diploma or equivalent
· A combination of appropriate education and experience may be substituted for the minimum education and experience requirements.

Pay Rate: $24.00 - $30.00 per hour
