The Role

The Marketing and Event Coordinator is responsible for planning, organizing, and executing marketing campaigns and events to achieve the overall business objectives.

Key Responsibilities and Duties

Events

  • Coordinating with vendors to ensure all the necessary equipment and supplies are prepared
  • Work with the marketing team to create marketing materials such as brochures, pamphlets, or flyers to promote events across all marketing touchpoints
  • Tracking attendance at events to ensure that they are successful, and making adjustments as needed
  • Creating a budget for each event and monitoring spending throughout the planning process to ensure that costs are controlled
  • Ensuring that all event details are finalized before the event date, including arranging catering services and locking in vendors and guest list
  • Negotiate sponsorship deals for local events
  • Ensure strong brand presence at sponsored events
  • Organize photo & video shoots at events to help with post-event promotions
  • Assist pre & post events managed by providing marketing support where needed

Content

  • Work with photographers/videographers to organize photo/video shoots to achieve a shots list
  • Work with photographer/videographer in developing assets for marketing campaigns

Ambassadors, Riders, Influencers, Media Sponsors

  • Identify ambassadors/riders, influencers and media to sponsor
  • Manage local riders to meet expectations and deliver on agreed-upon objectives
  • Facilitate sponsors orders

What you’ll need to succeed

  • 2+ years of employment experience with an event coordinator or event planner
  • A Post-secondary education, such as a degree in Business, Communications, Public Relations, Marketing, and/or Hospitality Management
  • A professional demeanor and ability to stay calm under pressure
  • Experience with creating and maintaining budgets
  • A proven track or aptitude for customer service
  • Proficiency in multitasking
  • Problem-solving
  • Ability to meet deadlines
  • Effective time management
  • Attention to detail
  • Soft skills such as empathy, active listening, critical thinking, problem solving, and more)
  • Negotiation capabilities
  • Excellent verbal and written skills in English – Japanese is a bonus
