Role Overview
The Registrar is responsible for overseeing academic administration, ensuring compliance with
university regulations and institutional policies, maintaining student records, managing
academic operations, leading the Academic Administration team, and acting as a key
liaison between students, parents, faculty, and management. The role requires strong
leadership, operational excellence, and stakeholder management to ensure smooth
academic functioning across the institution.
Key Responsibilities
• Ensure compliance with UGC, IOE, university regulations, academic policies, and
institutional guidelines.
• Keep the institution updated on changes in university regulations, academic
frameworks, government directives, and examination/result policies.
• Ensure adherence to university rules regarding result declaration, grading systems, re
evaluation, and academic timelines.
• Lead and manage the Academic Administration team and ensure achievement of
departmental KPIs.
• Plan, allocate, monitor, and review team responsibilities and performance.
• Oversee student admissions, registrations, progression, non-progression, repeat-year
cases, and graduation records.
• Maintain accurate and updated student records, academic files, transcripts,
attendance records, and documentation.
• Manage and monitor student attendance and ensure timely reporting of
attendance-related concerns.
• Prepare and manage academic schedules, timetables, examination schedules, and
institutional academic calendars.
• Coordinate with students, parents, faculty, and management on academic and
administrative matters.
• Handle student grievances, disciplinary matters, and misconduct cases in
accordance with institutional policies.
• Ensure student happiness, engagement, well-being, and smooth academic
experience across all programs.
• Conduct parent meetings and support student counselling initiatives when required.
• Manage merit-based and need-based scholarship processes, approvals, and
renewals.
• Plan and execute student orientation, onboarding, induction programs, and
academic briefings.
• Organize felicitation ceremonies, awards, recognition programs, convocation,
graduation-related activities, and institutional events.
• Coordinate Teaching Quality (TQ) feedback collection, analysis, and reporting.
• Support workshops, and academic training initiatives.
• Track student retention and attrition trends and recommend improvement measures.
• Oversee visitor management processes for students, parents, faculty, and external
stakeholders.
• Coordinate academic interactions involving visiting faculty and external academic
experts.
• Manage academic administration software platforms (Edu Cloud or similar ERP/SIS
systems).
• Ensure timely and accurate updating of student information including attendance,
grades, scholarships, and academic records.
• Generate reports, dashboards, and data analytics for management review and
decision-making.
• Coordinate with IT teams and software vendors to improve system efficiency and
resolve operational issues. • Facilitate seamless coordination between Academic Administration, Accounts,
Outreach, HR, IT, and other departments.
• Streamline processes related to fee collection, scholarships, attendance,
examinations, progression, and academic records.
• Ensure effective communication and timely resolution of interdepartmental matters.
• Support institutional audits, accreditation requirements, compliance reviews, and
quality assurance initiatives.
• Drive continuous improvement, process optimization, and operational excellence
across Academic Administration functions.
Qualifications & Experience
• Master’s Degree in Education, Management, Administration, or a related field.
• Minimum 8–12 years of experience in Academic Administration, Registrar’s Office,
Higher Education Operations, or Institutional Management.
• Strong knowledge of UGC regulations, university compliance requirements, academic
administration processes, and student lifecycle management.
