Role Overview
We are looking for a smart, presentable, and organised Receptionist cum Data Entry Executive to manage our front desk operations while also supporting our crewing and administrative team. This is a dual-role position suited to someone who is comfortable both handling office visitors and working with data and documents on a computer.
Key Responsibilities
- Manage front desk operations — welcome visitors, handle incoming calls, and route queries to the appropriate team members
- Receive, log, and dispatch couriers and correspondence
- Maintain and update crew records and seafarer data in our crew management system
- Perform accurate data entry and maintain organised digital and physical files
- Draft and send routine emails to clients, seafarers, and vendors under supervision
- Maintain office supplies and coordinate with vendors as needed
- Assist with compliance-related paperwork and document tracking
Required Skills & Qualifications
- Graduate in any discipline (Commerce / Arts / BMS preferred)
- 1–3 years of experience in a receptionist, data entry, or office administration role
- Proficiency in MS Office — particularly Word, Excel etc.
- Good written and spoken English — ability to draft professional emails
- Organised, detail-oriented, and reliable
- Comfortable working in a professional office environment
Good to Have
- Prior exposure to a shipping and maritime environment
- Familiarity with CRM/crew management software or other software data entry
