Job Title: Guest Relations Executive / Receptionist

Job Summary:
We are seeking a well-presented and proactive Guest Relations Executive to manage front desk operations and provide administrative support in our real estate office. The ideal candidate will be the first point of contact for clients and visitors, ensuring a professional and welcoming experience while efficiently handling administrative responsibilities.
Key Responsibilities:
Front Desk & Guest Relations:
- Greet and welcome clients, visitors, and business partners in a courteous and professional manner
- Manage incoming calls, emails, and inquiries, and direct them appropriately
- Maintain visitor records and ensure proper coordination with internal teams
- Ensure the reception area is well-maintained and presentable at all times
- Ensure all guests are attended to as per SOP, including offering water, tea, coffee, or cold beverages in a timely manner
Administrative Support:
- Provide administrative assistance to various departments as required
- Manage office supplies, inventory, and vendor coordination
- Schedule meetings, appointments, and conference room bookings
- Assist in documentation, filing, and record management
- Support day-to-day office operations and administrative facilities
Facilities & Team Coordination:
- Oversee housekeeping activities to ensure cleanliness and hygiene standards are maintained at all times
- Supervise and coordinate with housekeeping staff, office boys, and driver team members
- Ensure smooth functioning of office facilities and address any maintenance or operational issues promptly
Coordination & Communication:
- Coordinate with sales and CRM teams for client appointments and follow-ups
- Handle courier, dispatch, and incoming/outgoing correspondence
- Support event arrangements, client visits, and site tours
Key Skills & Competencies:
- Excellent communication and interpersonal skills
- Professional appearance and positive attitude
- Strong organizational and multitasking abilities
- Ability to manage support staff and vendors effectively
- Proficiency in MS Office (Word, Excel, Outlook)
- Ability to handle clients with patience and professionalism
Qualifications:
- Graduate in any discipline
- 2–3 years of experience in front office, guest relations, or administrative roles (preferably in real estate or related industry)
Preferred Attributes:
- Experience in handling high-profile clients
- Basic knowledge of real estate operations and terminology
- Ability to work in a fast-paced environment
