Role Description
We are looking for a professional and personable Receptionist to be the first point of contact for our organisation. The ideal candidate will have a welcoming demeanour, strong communication skills, and the ability to manage front-desk operations efficiently in a fast-paced environment.
Key Responsibilities
- Greet and welcome visitors, clients, and guests in a courteous and professional manner
- Manage the front desk, including handling incoming calls, emails, and correspondence, and routing them to the appropriate departments
- Maintain visitor logs and issue visitor passes as per security protocols
- Schedule and coordinate appointments, meetings, and conference room bookings
- Handle incoming and outgoing couriers, letters, and packages
- Maintain the reception area and ensure it is clean, organised, and presentable at all times
- Assist the HR and Admin teams with general administrative tasks such as data entry, filing, and document management
- Coordinate with housekeeping, security, and facility teams for day-to-day operational requirements
- Manage office stationery and pantry supply inventory
- Support onboarding of new employees by coordinating access cards, desk setup, and induction logistics
- Handle basic queries from walk-in visitors and direct them to the relevant personnel.
Required Qualifications & Skills
- Education: Bachelor's degree or diploma in any discipline (Hotel Management / Business Administration preferred)
- Experience: Minimum 1 year of experience in a receptionist, front-desk, or customer-facing role
- Communication: Excellent verbal and written communication skills in English; proficiency in Tamil is an added advantage
- Technology: Proficient in MS Office Suite (Word, Excel, Outlook); experience with EPABX/multi-line phone systems is desirable
- Interpersonal Skills: Pleasant personality, professional appearance, and a proactive attitude
- Organisation: Strong multitasking and time management abilities
- Reliability: Punctual, dependable, and able to maintain confidentiality
Preferred Skills
- Prior experience working in a corporate office, hospital, hotel, or co-working space
- Familiarity with visitor management software or CRM tools
- Basic knowledge of facility management processes
