Agatsu is looking for two Receptionists to share the responsibility of handling the desk at the Community Centre. Kindly note that we have two open positions with the same role and responsibilities.
Role Overview
The Receptionist is the first point of contact for the Agatsu Community Centre and plays a key role in creating a welcoming, responsive, and well-organised environment. This role involves managing communication channels, coordinating activity registrations, and supporting the smooth day-to-day functioning of the centre.
Key Responsibilities
1. Communication Management
- Handle all incoming communication including calls, WhatsApp messages, and in-person enquiries within defined timelines
- Share accurate and timely information about community centre activities, events, and services with participants and facilitators
- Send reminders and updates to participants for activities, events, and peer support sessions
- Manage broadcast messages and group communications where required
- Maintain a warm, respectful, and empathetic tone in all interactions
- Promote ongoing programs, workshops, and centre events
2. Activity Registrations & Data Management
- Manage registrations for all community centre activities, events, and training programs
- Maintain accurate and up-to-date participant records and schedules
- Ensure smooth coordination between participant sign-ups and facilitator requirements
- Track attendance and support any reporting needs for activities
- Share cleaned registration sheets on a monthly basis to the CC Manager
3. Front Desk & Space Coordination
- Ensure the reception area and common spaces are organised, clean, and welcoming
- Support facilitators with scheduling updates and everyday coordination
- Assist the Community Centre team in ensuring smooth daily operations where required
- Monitor availability of stationery and front-desk supplies
4. Operational and Logistical Support
● Ensuring the Community Centre and its resources are in good condition
● Organizing the art products, library and other inventory on a regular basis
● Assist with filing, photocopying, data entry, and office coordination tasks
● Report maintenance issues and follow up until resolution
● Maintain inventory records and usage logs
● Raise requisitions for replenishment in a timely manner
● Ensure proper storage and distribution of materials
5. Compliance & Safety
- Follow centre policies, visitor protocols, and emergency procedures
- Maintain confidentiality of member and organizational information
- Report safety concerns, incidents, or suspicious activities immediately
- Handle complaints or escalations politely and direct them appropriately

Preferred Skills & Qualities
- Proficiency in English and Hindi (Marathi is a bonus)
- Strong organisational and multitasking skills
- Comfort with digital tools such as WhatsApp, email, MS Excel, Googlesheets basic data entry
- Ability to interact with diverse individuals in a respectful and inclusive manner
- Ability to handle sensitive situations tactfully
- Attention to detail and accuracy
- Familiarity with office equipment (printer, scanner, phone systems)
- Conflict resolution and complaint-handling skills
- Time management and prioritization skills
- Prior experience in front desk, community work, or coordination roles is a plus
Reporting To: Community Centre Manager
Salary: Rs.30,000
Therapy reimbursement up to Rs. 8,000 per month upon submission of valid invoices
