Job descriptionQuickBooks Online Bookkeeper | Team Lead | Bookkeeping Manager
We are hiring accounting professionals to join our Back Office Bookkeeping team supporting law firm clients. Depending on experience and qualifications, candidates may be considered for Bookkeeper, Team Lead, or Manager roles.
This team is responsible for maintaining accurate financial records in QuickBooks Online (QBO), performing reconciliations, and supporting timely month-end closings while following established workflows and documentation standards.
Key Responsibilities
- Record and categorize financial transactions in QuickBooks Online (QBO) weekly in accordance with company policies.
- Perform detailed coding to balance sheet and income statement accounts across charts of accounts exceeding 200 accounts.
- Allocate and record principal and interest properly for loan payments.
- Perform monthly bank and credit card reconciliations to ensure the accuracy and integrity of financial records.
- Record payroll entries using either the payroll system mapping feature or manual journal entries using the company template.
- Attach payroll registers to all payroll-related QBO journal entries.
- Update the Cash Flow Tool Template for each client at month-end, unless the client opts out of this deliverable.
- Follow established weekly and monthly procedures and document activities in the company workflow management system.
- Track time by client activity within the workflow management system.
- Communicate with front office staff accountants to resolve client-specific questions or obtain missing financial information.
- Complete month-end and year-end closing activities according to workflow checklists and due dates.
- Maintain confidentiality of financial information and exercise discretion when handling sensitive data.
- Perform a weekly 3-way trust matching process to maintain law firm IOLTA accounts by client ledgers.
- Prepare an end-of-month trust 3-way reconciliation reconciling the clients Case Management System, QuickBooks Online, and bank balances.
Team Lead Responsibilities
- Supervise and support a team of bookkeepers, providing guidance and answering day-to-day operational questions.
- Assign and monitor weekly and monthly tasks to ensure deadlines and quality standards are met and adhere to client guidelines.
- Ensure the team consistently follows workflow procedures, documentation standards, and time tracking requirements.
- Assist in preparing End of Month (EOM) schedules and ensure the closing timeliness.
- Manage team month-end and year-end closings, including coordinating the first-weekend-of-the-month closing schedule.
- Work closely with the Quality Control team to resolve discrepancies and prevent recurring issues.
- Identify workflow improvements and support the training and development of team members.
Manager Responsibilities
- Manage team leads and bookkeeping staff, providing coaching, mentoring, and performance management.
- Ensure bookkeepers follow established weekly, monthly, and year-end workflows in the workflow management system.
- Monitor deadlines for reconciliations, payroll postings, cash flow updates, and trust reconciliations.
- Review department output to ensure compliance with client guidelines and company quality standards.
- Serve as the liaison between the back office bookkeeping team and front office accountants.
- Ensure month-end and year-end closing activities are completed accurately and on time for all clients.
- Manage scheduling for the first weekend of each month, ensuring required staff coverage and scheduling the following Thursday and Friday off.
- Oversee quality control reviews of client books at least once per quarter.
- Identify opportunities to improve workflow efficiency, quality control, and team productivity.
Experience & Qualifications
- Bachelors degree in Accounting, Finance, or a related field preferred
- Bookkeeper: Minimum 12 years of bookkeeping or accounting experience
- Team Lead: Minimum 3+ years of bookkeeping experience, including at least 1 year in a supervisory or lead role
- Manager: Minimum 5+ years of bookkeeping or accounting experience, including 2+ years in a leadership or management role
- Experience with QuickBooks Online (QBO)
- Knowledge of law firm or IOLTA accounting is a plus
- Strong understanding of accounting principles, reconciliations, and financial reporting
- Strong attention to detail and ability to manage multiple deadlines
- Strong written and verbal English communication skills
