Role Description
The Quality Management Specialist – 3P Operations will oversee and improve quality standards across third-party manufacturing and packaging partners to ensure that all Sleepy Owl Coffee products meet internal and regulatory requirements. This full-time, on-site role based in Gurugram involves monitoring quality metrics, conducting audits, inspecting production processes, and coordinating corrective and preventive actions with 3P vendors. The specialist will collaborate closely with operations, procurement, product development, and supply chain teams to establish, document, and maintain quality procedures and SOPs. Day-to-day work includes reviewing test reports, resolving quality incidents, driving root cause analysis, supporting new product and packaging launches from a quality perspective, and ensuring adherence to food safety and hygiene standards. The role also requires maintaining accurate quality documentation, preparing reports and dashboards, and recommending process improvements to enhance product consistency and customer satisfaction.
Key Responsibilities
3P Quality Management & Oversight
- Manage and monitor quality systems and execution across third-party manufacturing plants
- Ensure adherence to SOPs, GMP practices, hygiene standards and process controls
- Conduct regular factory visits and production supervision at partner manufacturing units
- Monitor production activities from a quality and compliance lens
- Verify production readiness before batch execution
- Ensure proper implementation of quality checklists and production protocols
- Monitor deviations, escalations and corrective action closures
- Coordinate dispatch approvals and finished goods release processes
- Ensure traceability and documentation compliance across all production batches
Raw Material & Packaging Material Quality Coordination
- Coordinate RM and PM quality checks with internal and external stakeholders
- Verify incoming raw material and packaging material quality standards at manufacturing sites
- Coordinate approvals, specifications and quality documentation for RM and PM
- Ensure packaging compliance and compatibility during production runs
- Work closely with packaging, procurement and vendor teams for issue resolution
Production & Commercialization Coordination
- Coordinate production schedules and manufacturing timelines with 3P partners
- Manage production slots, production planning and manufacturing readiness
- Support pilot runs, plant trials and commercialization activities
- Coordinate lab trials and scale-up trials with external R&D teams and manufacturing partners
- Ensure smooth execution during new product launches and reformulation projects
- Track production milestones and execution timelines across projects
- Coordinate between internal functions and external manufacturing stakeholders
Cross Functional Coordination
- Work closely with:
- Packaging teams
- Internal quality teams
- Manufacturing partners
- Procurement teams
- Operations teams
- Product development teams
- Supply chain stakeholders
- Ensure alignment between production, quality and dispatch timelines
- Support issue resolution and operational escalations during production runs
Documentation, Compliance & Reporting
- Maintain production records, quality reports and batch documentation
- Ensure proper documentation of trials, production runs and dispatch approvals
- Track CAPAs, deviations and quality observations
- Support audit readiness and compliance documentation
- Maintain production and quality trackers across manufacturing partners
Experience
- 2–4 years of experience in FMCG, Food & Beverage or manufacturing companies
- Experience in quality operations, production coordination, manufacturing execution or plant quality preferred
- Prior exposure to third-party manufacturing environments will be preferred

- Bachelor’s degree in Food Technology, Food Science, Biotechnology, Microbiology, Chemical Engineering or related fields preferred
- Candidates with relevant manufacturing and quality experience from FMCG/F&B companies will also be considered

Qualifications
- Strong foundation in Quality Management, Quality Assurance, and Quality Control, with experience implementing and maintaining quality systems in manufacturing or FMCG/food and beverage environments.
- Proficient Analytical Skills to interpret quality data, identify trends, conduct root cause analysis, and drive data-informed improvement actions.
- Effective Communication skills to collaborate with internal teams and third-party partners, document findings clearly, and present quality reports and recommendations.
- Experience managing quality in 3P/contract manufacturing operations, including audits, vendor qualification, and performance monitoring.
- Understanding of food safety, hygiene, and relevant standards or certifications (e.g., FSSAI requirements, HACCP, ISO standards) is highly beneficial.
- Bachelor’s degree in food technology, Engineering, Quality, or a related discipline, or equivalent practical experience in quality operations.
- Strong attention to detail, problem-solving mindset, and ability to work on-site in a fast-paced, growth-oriented environment.
