Role Description
We are looking for a highly organized, detail-oriented, and process-driven Purchase Specialist (Imports) to strengthen and manage our international procurement and import operations.
This role will be responsible for handling end-to-end import procurement activities including international sourcing, vendor coordination, purchase order execution, shipment tracking, import documentation, customs coordination, compliance management, and procurement planning.
The ideal candidate should possess strong practical knowledge of import procedures, international trade documentation, supplier negotiations, shipment coordination, and procurement systems. The role requires excellent follow-up skills, ownership mindset, coordination abilities, and commercial understanding.
This is a critical role that directly impacts material availability, costing efficiency, inventory planning, supply continuity, and overall operational performance.
Key Responsibilities
- Handle end-to-end import procurement operations from supplier finalization to material receipt
- Source and procure raw materials, packaging materials, finished goods, accessories, and other imported products/components
- Coordinate with international suppliers for quotations, negotiations, sampling, lead times, dispatch schedules, and order execution
- Create, release, and manage Purchase Orders (POs) in ERP/SAP systems
- Track order status, shipment schedules, and delivery timelines to ensure uninterrupted supply
- Ensure timely processing and accuracy of all import-related documentation including:
- Commercial Invoice
- Packing List
- Bill of Lading / Airway Bill
- Certificate of Origin
- Insurance Documents
- LC / Bank Documents
- Test Certificates & Compliance Documents
- Import Licenses and Regulatory Documents
- Coordinate with CHA, freight forwarders, shipping lines, transporters, customs agents, and logistics partners
- Monitor shipments and proactively handle delays, discrepancies, shortages, damages, and clearance-related issues
- Ensure compliance with customs regulations, import policies, DGFT norms, and internal procurement procedures
- Manage landed cost calculations and monitor import-related expenses including freight, duty, insurance, clearing charges, and logistics costs
- Coordinate with Accounts for payment planning, LC documentation, vendor reconciliations, and costing approvals
- Maintain procurement MIS, shipment trackers, vendor records, and documentation systems
- Work closely with Production, PPC, Planning, Warehouse, Quality, and Sales teams for smooth material flow and inventory management
- Support procurement forecasting and inventory planning activities
- Develop and maintain strong relationships with overseas suppliers and sourcing partners
- Identify opportunities for cost optimization, alternate sourcing, process improvement, and procurement efficiency enhancement
- Monitor supplier performance based on quality, timelines, responsiveness, pricing, and reliability
Qualifications & Skills
- Bachelor’s degree in Supply Chain Management, Commerce, Business Administration, or related field
- MBA / PGDM in Supply Chain or Operations will be an added advantage
- 3–6 years of experience in Imports, International Procurement, or Supply Chain Operations
- Strong understanding of import processes, customs clearance procedures, and international trade documentation
- Good knowledge of Incoterms, freight terms, shipment planning, and landed costing
- Experience in handling LC transactions, import compliance, and vendor coordination
- Hands-on experience in ERP/SAP systems is highly preferred
- Strong analytical, commercial, negotiation, and problem-solving skills
- Good command over MS Excel and procurement reporting
- Excellent communication, coordination, and follow-up abilities
- Ability to work in a fast-paced and execution-oriented environment
- Strong ownership mindset and attention to detail
