Job OverviewWe are seeking a highly skilled and organized Proposal Writer to lead our end-to-end proposal development process. In this role, you will be responsible for the full lifecycle of Request for Proposals (RFPs), Request for Information (RFIs), and proactive business pitches. You will serve as the project manager and lead writer, collaborating closely with Sales, Subject Matter Experts (SMEs), and executive leadership to craft compelling, compliant, and winning proposals.

Key ResponsibilitiesEnd-to-End Proposal Management
- Evaluate incoming solicitations to determine requirements, feasibility, and alignment with company capabilities (Go/No-Go process).
- Develop and manage the overarching proposal schedule, outlining strict milestones, deliverables, and role assignments.
- Lead kick-off meetings to define the proposal strategy, "win themes," and competitive differentiators.
- Facilitate status meetings and cross-functional check-ins to ensure all contributors stay on track and meet deadlines.
Writing, Editing & Content Development
- Draft, write, and edit high-quality proposal content that is clear, persuasive, and directly addresses the client’s needs and RFP requirements.
- Translate complex technical, financial, or operational concepts into easy-to-understand language for diverse audiences.
- Tailor content to fit the specific nuances of each client and opportunity.
- Ensure a consistent, unified "one-voice" tone across documents featuring multiple contributors.
Collaboration & Review
- Collaborate with SMEs (Engineers, Product Managers, Legal, Pricing, etc.) to extract necessary information for custom responses.
- Organize and facilitate iterative review cycles (e.g., Pink Team, Red Team, Gold Team) with key stakeholders and leadership.
- Incorporate feedback promptly and meticulously, ensuring absolute compliance with all client instructions, formatting rules, and evaluation criteria.
Submission & Post-Submission
- Manage the final production, formatting, and timely delivery of the proposal (via physical shipment, email, or procurement portals).
- Assist in creating presentation decks and collateral for short-list interviews or finalist presentations.
- Conduct post-submission debriefs to identify areas for process improvement.
Knowledge Management
- Maintain, audit, and continuously update the centralized proposal content library/database (e.g., Loopio, Qvidian, Seismic).
- Organize historical proposals, case studies, and graphics for easy retrieval.
Qualifications & SkillsExperience
- 3 to 5+ years of professional experience in proposal writing, grant writing, or bid management.
- Proven track record of managing complex, high-value proposals from inception to submission.
Hard Skills
- Exceptional writing, copy-editing, and proofreading skills with a keen eye for detail.
- Strong project management capabilities with the ability to manage multiple competing deadlines simultaneously.
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel) and document design/formatting.
Soft Skills
- Excellent interpersonal skills to effectively chase down information and collaborate with executives and technical SMEs.
- High emotional intelligence and grace under pressure in deadline-heavy situations.
- Strategic thinking and the ability to view the proposal from the evaluator's perspective.
Education & Certifications
- Bachelor’s degree in English, Communications, Business, Marketing, Journalism, or a related field.
- Preferred: APMP (Association of Proposal Management Professionals) Certification (Foundation level or higher).
