Role Description
This is a full-time, on-site role for a Proposal Specialist based in Chennai. The position involves managing the end-to-end proposal process by drafting, editing, and submitting high-quality, compliant, and persuasive proposals in response to RFPs. The role also includes collaborating with internal teams to gather necessary inputs, adhering to strict deadlines, and ensuring deliverables align with client expectations. The Proposal Specialist will play a crucial part in supporting strategic business development initiatives through impactful documentation and communication strategies.
Qualifications
- Proficiency in Proposal Management and Proposal Writing
- In-depth understanding of RFP processes and requirements
- Strong Communication skills for effective client and team interactions
- Experience in Project Management to coordinate resources and timelines efficiently
- Attention to detail, organizational skills, and ability to meet deadlines
- Proven ability to work collaboratively in a cross-functional team environment
- Prior experience in a similar role within the aerospace or technology industry is advantageous
- Bachelor's degree in Business, Communications, or related field preferred
Data Analysis & MIS Reporting
- Maintain tender trackers, bid status, win/loss analysis, and revenue MIS.
- Analyze submission trends, conversion ratios, and compliance gaps.
- Prepare daily, weekly, and monthly reports for leadership review.
- Support forecasting through data-backed insights.
Calling & Coordination
- Make outbound calls to:
- Vendors
- Government departments
- Channel partners
- Internal sales & operations teams
- Track acknowledgements, clarifications, submissions, and corrections.
- Coordinate with sales, finance, legal, and operations teams for document collection.
Cross-Functional Support
- Work closely with:
- Sales for bid alignment
- Finance for pricing & BG details
- Legal for declarations & affidavits
- Support post-tender documentation, LOI, and agreement processes.
Process Control & Accuracy
- Ensure zero-error submissions.
- Maintain compliance with audit, legal, and internal SOP standards.
- Track deadlines and ensure on-time submissions without exception.
