Company Description
Kongsi Tea Bar is looking for a Projects Manager to lead end-to-end execution of new store setups, manage ongoing outlet maintenance, and oversee equipment planning and coordination across multiple locations.
This role is highly execution-driven and site-focused. The ideal candidate should have strong experience in retail or F&B project execution, vendor coordination, store fit-outs, and maintenance operations. Experience in the F&B industry is preferred, but strong retail project execution experience is mandatory.
Key Requirements:
New Store Project Execution
• Manage end-to-end execution of new outlet projects from site handover to store opening
• Coordinate civil, electrical, plumbing, HVAC, kitchen setup, interiors, signage, and
branding execution
• Work closely with architects, designers, mall teams, landlords, and contractors
• Prepare and track project timelines, BOQs, budgets, and execution plans
• Ensure projects are completed on time, within approved budgets, and as per brand standards
• Oversee snag lists, final inspections, and smooth handover to operations
Store Maintenance & Asset Management
• Manage preventive and breakdown maintenance across all live outlets
• Coordinate with AMC vendors for electrical, plumbing, HVAC, refrigeration, and
equipment servicing
• Ensure minimal downtime and quick resolution of technical issues
• Maintain records for warranties, AMC contracts, asset registers, and service history
• Support outlet teams with technical guidance and maintenance SOPs
Eqipment Planning & Coordination
• Plan, source, and coordinate installation of café and QSR equipment
• Ensure correct equipment layout, power load planning, and safety compliance
• Liaise with equipment suppliers for procurement, installation, and servicing
• Support standardization of equipment across outlets for operational efficiency
Vendor & Stakeholder Management
• Identify, onboard, and manage project and maintenance vendors
• Negotiate commercial terms with contractors and service providers
• Coordinate with internal teams including operations, procurement, finance, and marketing
• Act as the single point of accountability during project execution and maintenance activities
Compliance, Reporting & Controls
• Ensure compliance with FSSAI, fire safety norms, mall guidelines, and local regulations
• Track project progress and share regular MIS, timelines, and cost reports
• Flag risks, delays, and cost overruns proactively with corrective action plans
Required Skills & Qualifications
• Bachelor’s degree in Engineering, Architecture, Interior Design, Hospitality, or
Management
• 5+ years of hands-on project execution experience in retail, QSR, cafés, or hospitality
• Strong understanding of store setup, fit-outs, MEP coordination, and maintenance operations
• Practical knowledge of café and kitchen equipment
• Strong vendor management and negotiation skills
• Ability to manage multiple projects across locations
• High ownership mindset with strong execution focus
• Proficiency in MS Excel, PowerPoint, and basic project tracking tools
Preferred Experience
• Experience working with multi-location retail, café, or QSR brands
• Exposure to mall and high-street retail project execution
• Knowledge of BOQ preparation, budgeting, and cost control
• Experience in outlet renovations and refurbishments
