Job Summary: The Project Portfolio Manager will report directly to the Chief People Officer (CPO) and act as a hybrid Executive Assistant–Portfolio lead, ensuring the CPO’s priorities, people projects and strategic initiatives are planned, tracked and delivered on time. This role owns the CPO’s calendar, tracks project progress across the HR/People portfolio, and builds executive-ready dashboards and reports using Excel and other tools.
Key Responsibilities:
• Own and manage the CPO’s calendar, including prioritising meetings, blocking focus time, and coordinating with internal and external stakeholders.
• Coordinate and track the full portfolio of People/HR projects (e.g. hiring, org design, policy rollouts, culture and engagement programs, HR tech implementations).
• Set up and maintain simple portfolio governance: project list, charters, owners, timelines, status categories, and risk/issue logs.
• Create and update project and portfolio dashboards in Excel (and other BI tools if needed) to show progress, risks, dependencies and outcomes for leadership reviews.
• Prepare CPO for key forums: compile pre-reads, talking points, project summaries, and follow-up trackers after leadership and board meetings.
• Attend selected project meetings on behalf of the CPO, capture minutes and action items, and follow through with owners until closure.
• Standardise status reporting: design templates, collect project updates from project owners, validate data, and circulate concise portfolio updates on a regular cadence.
• Support resource and capacity planning for the People function by tracking project workloads, dependencies, and critical bottlenecks.
• Maintain a central repository of project documents, SOPs, templates and lessons learned to support organisational learning.
• Handle confidential information and CPO communications with discretion and high levels of professionalism.
Collaboration and communication: Proactive monitoring and collaboration with team members and internal departments are necessary to guarantee seamless operations at the centre.
