Project Manager in Deputy COO’s Office
We are seeking a highly organized, analytical, and strategic PMO professional to support enterprise-wide initiatives and operational transformation programs within a Registrar and Transfer Agency (RTA) environment. This role, positioned within the Deputy COO’s Office, will drive execution excellence across strategic business, operations, compliance, and technology initiatives while ensuring strong governance, stakeholder alignment, and delivery oversight.
The ideal candidate will possess strong experience in PMO governance, cross-functional program management, and strategic execution within financial services, capital markets, securities servicing, mutual funds, or FinTech environments. The role requires close collaboration with senior leadership to translate corporate strategy into actionable plans and measurable outcomes.
Responsibilities:
1. PMO Governance & Strategic Program Delivery
- Establish, standardize, and enforce PMO governance frameworks, project controls, methodologies, and reporting standards across business units.
- Lead and govern large-scale strategic initiatives directly aligned with the Deputy COO’s priorities.
- Oversee end-to-end project lifecycle management from initiation through closure.
- Ensure adherence to timelines, budgets, scope, quality standards, and organizational objectives.
- Drive governance cadence through steering committees, executive reviews, and project status reporting.
2. Portfolio & Transformation Management
- Manage and track enterprise project portfolios across:
- Investor servicing
- Transfer agency operations
- Mutual fund servicing
- KYC/AML initiatives
- Regulatory compliance
- Digital onboarding
- Process automation
- Corporate actions
- Technology transformation initiatives
- Maintain centralized dashboards, portfolio trackers, and executive MIS reporting mechanisms.
- Monitor interdependencies, project health, milestones, and resource utilization across concurrent initiatives.
3. Executive Reporting & Analytical Insights
- Design and present high-impact leadership dashboards and executive presentations for senior management review.
- Analyze operational data, project metrics, KPIs, and performance trends to provide actionable business insights.
- Track risks, bottlenecks, dependencies, and escalation items with proactive mitigation planning.
- Support strategic decision-making through data-driven reporting and recommendations.
4. Stakeholder & Cross-Functional Coordination
- Act as a central liaison between the Deputy COO’s office and internal/external stakeholders.
- Coordinate with Operations, Compliance, Risk, Technology, Legal, Finance, Client Services, and vendor teams.
- Facilitate seamless communication across leadership levels, clients, custodians, partners, and regulatory stakeholders.
- Drive collaboration to resolve project bottlenecks and align priorities across functions.
5. Risk, Compliance & Audit Management
- Maintain RAID logs (Risks, Assumptions, Issues, Dependencies) and governance documentation.
- Ensure projects align with regulatory guidelines, internal policies, and audit requirements.
- Support audit readiness, control tracking, compliance reporting, and governance reviews.
- Monitor project risks and escalation management frameworks.
6. Financial & Resource Management
- Support project budgeting, forecasting, procurement, and vendor management activities.
- Track project costs, vendor invoices, resource allocation, and utilization metrics.
- Assist leadership in capacity planning and prioritization of strategic initiatives.
7. Change Management & Process Excellence
- Facilitate organizational change management and transformation readiness initiatives.
- Drive PMO maturity improvements and operational efficiency programs.
- Promote best practices in governance, reporting, process optimization, and project delivery methodologies.
- Act as a strategic coordination partner to the Deputy COO by participating in key business and governance meetings, capturing meeting minutes, tracking action items, and ensuring timely follow-through on decisions and deliverables.
- Manage the Deputy COO’s calendar, meeting schedules, priorities, and coordination to support effective time management and executive office operations.
Required Qualifications:
- Bachelor’s degree in Engineering, Finance, Business Administration, Information Technology, or related field with MBA or from a reputed institution preferred.
- 8–12+ years of experience in PMO, program management, or strategic project governance roles.
- Proven experience managing enterprise-wide initiatives for senior leadership or C-suite stakeholders.
- Strong understanding of Waterfall, Agile, and Hybrid project management methodologies.
Preferred Industry Experience:
- Registrar & Transfer Agency (RTA) operations

- Securities servicing, Capital markets, Wealth management platforms
- Banking & Financial Services (BFSI), Financial Technology (FinTech)
Preferred Certifications & Technical Skills:
- PMP / PgMP / PRINCE2
- Agile / Scrum certifications (CSM, PMI-ACP, SAFe)
- Lean Six Sigma (Green Belt / Black Belt)
- CAPM or PMO certifications
- Collaboration & PM tools – MS Project, Jira / Confluence, SharePoint, Asana / Smartsheet / Portfolio management tools
- Visualisation & Dashboarding tools – Power BI / Tableau, Advanced Excel (reporting, dashboards, analytics)
