Project Manager – Event Design & Decor Execution

About the Role
Own the end-to-end delivery of event design and decor projects, translating creative briefs into executable plans, controlled production, and flawless on-site outcomes. You will connect design, fabrication, vendors, logistics, clients, and installation teams so every element is delivered to specification, on time, within agreed budgets, and in line with venue and safety requirements. The role combines planning discipline with creative judgment and requires regular workshop checks, client meetings, site visits, pre-event reviews, installations, and dismantling. Based in Gurugram, you will work full-time with Sunday as the weekly day off and other Saturdays generally working. Standard timings are 9:00 AM to 7:30 PM Dubai time, with occasional extended hours during event builds or urgent project phases. Additional hours or weekend work will be managed through compensatory time or schedule adjustments according to company policy.
Key Responsibilities
- Convert creative briefs into practical decor execution plans, production schedules, resource lists, installation timelines, and clear deliverables that keep design, production, and logistics teams aligned.
- Own vendor, fabricator, and supplier coordination by sourcing capable partners, negotiating requirements, tracking procurement, and securing reliable delivery of materials, props, and finished decor elements.
- Maintain an accurate vendor tracker covering quality, pricing, capacity, and reliability so project decisions improve supplier performance, reduce execution risk, and support consistent delivery standards.
- Control production progress through workshop visits, quality checks, pre-event meetings, issue resolution, and specification reviews that protect creative intent, safety, timelines, and client expectations.
- Lead venue installation and dismantling, allocate manpower and resources, and resolve last-minute site challenges so event spaces are completed safely, professionally, and ready for successful delivery.
- Serve as the decor execution contact for clients and internal stakeholders, contributing technical input during meetings and site visits while ensuring agreed standards, budgets, and approvals remain controlled.
- Maintain complete project records, including budgets, contracts, design approvals, schedules, and compliance documentation, while supporting the vetting of new vendors and freelance execution partners.
Essential Skills & Technologies
- Demonstrated project management capability across event design and decor execution, with the judgment to convert creative direction into controlled plans, production milestones, and measurable delivery outcomes.
- Strong vendor and production management skills, including sourcing, negotiation, procurement coordination, workshop quality checks, material knowledge, fabrication awareness, and supplier performance tracking.
- Practical on-site execution expertise, including installation, dismantling, manpower allocation, venue coordination, safety compliance, and calm resolution of urgent or changing event requirements.
- Clear communication and stakeholder coordination skills for working with clients, designers, production teams, logistics partners, fabricators, freelancers, and diverse on-ground crews.
- Proficiency with Excel, Google Sheets, Asana, Trello, Monday.com, Google Drive, SharePoint, OneDrive, Google Calendar, Outlook, Canva, PowerPoint, or Adobe Acrobat for planning and documentation.
- Strong attention to detail, creative problem-solving ability, and the resilience to manage multiple vendors, deadlines, approvals, and project priorities during high-pressure event periods.

- Experience delivering premium client events, high-profile celebrations, corporate functions, product launches, weddings, galas, or other complex bespoke experiences is advantageous.
- A strong portfolio demonstrating successful event decor projects, practical design understanding, and consistent control of production quality will be valued.
- Experience with leading event design and decor agencies or comparable high-volume production environments will be considered an advantage.

- A Bachelor's degree in Event Management, Design, Architecture, or a related discipline is preferred; equivalent hands-on experience with a strong portfolio will also be considered.
- You bring structured planning, commercial awareness, supplier judgment, and a sharp eye for detail, enabling creative concepts to become practical, safe, high-quality environments within agreed budgets and timelines.
- You communicate confidently with premium clients, vendors, fabricators, designers, logistics teams, and site crews, while remaining composed when requirements shift or execution pressure increases.
- You are comfortable working from Gurugram, attending workshops, client meetings, and site visits, and taking ownership of installations, dismantling, documentation, and delivery-critical decisions.
- You are willing to work extended hours during event builds or urgent project phases, with additional hours or weekend work offset through compensatory time or schedule adjustments under company policy.
