Role Summary
We are looking for a highly organized and proactive Admin / PMO Coordinator with experience in the IT industry to support day-to-day operations across projects and business teams. This role will act as a central coordinator, helping drive task execution, manage documentation, support contract processes, and ensure effective communication across stakeholders. The ideal candidate brings strong follow-up skills, attention to detail, and familiarity with IT services or project environments.
Key Responsibilities
- Coordinate with business and IT teams to gather and document requirements, ensuring clarity and completeness
- Support creation and management of contracts, SOWs, and related documentation in coordination with internal stakeholders
- Act as a central point of contact to follow up with teams and ensure tasks are progressing as planned
- Track key activities, deadlines, and deliverables; proactively remind stakeholders and escalate delays when needed
- Organize meetings, prepare agendas, capture notes, and ensure action items are clearly defined and closed
- Maintain project trackers, status updates, and reports for leadership visibility
- Ensure smooth communication across cross-functional teams and help resolve day-to-day coordination challenges
- Assist with onboarding coordination, documentation, and general administrative support
- Bring structure and discipline to ongoing work by improving tracking, follow-ups, and process consistency
Ideal Candidate Profile
- 4–7 years of experience in an administrative, coordination, or PMO support role within the IT industry
- Understanding of IT services, project environments, or consulting workflows
- Strong organizational and multitasking skills with high attention to detail
- Excellent verbal and written communication skills
- Ability to manage multiple stakeholders and follow through on tasks independently
- Proficiency in MS Office (Excel, Word, PowerPoint) and basic tracking/reporting tools
- Experience handling contracts, SOWs, or vendor coordination is preferred
- Self-starter with a proactive approach to problem-solving and follow-ups
Nice to Have
- Experience in IT services, consulting, or staffing organizations
- Exposure to project tracking tools (e.g., Jira, Asana, Monday.com)
- Basic understanding of project lifecycle (no technical expertise required)
