ROLE OVERVIEW:
We are looking to hire two proactive and detail-oriented Project Coordinators to support our MEP Design Projects. The selected candidates will work closely under the Project Manager and will be responsible for coordinating internal design teams and external stakeholders to ensure smooth and timely project delivery. The role requires strong coordination skills, understanding of technical drawings, and the ability to track project schedules through MIS reports and Gantt charts. The candidate will act as a communication bridge between clients, architects, project managers, and the internal design team. This position is ideal for entry-level engineers who want to build strong project management exposure within the MEP consultancy domain.
KEY RESPONSIBILITIES:
1. Project Coordination & Scheduling
• Assist the Project Manager in planning and monitoring project timelines.
• Prepare and maintain Gantt charts (project schedules) for all assigned projects.
• Track daily/weekly deliverables and update progress status.
• Ensure design submissions are aligned with agreed timelines.
• Escalate potential delays to the Project Manager proactively.
2. MIS & Reporting
• Prepare and circulate Weekly & Monthly MIS reports.
• Track: o Submission status
o Pending inputs
o Client approvals
o Design revisions
o Internal turnaround time
• Maintain project trackers and update management dashboards.
• Monitor dependency matrices.
3. Client & Consultant Coordination
• Coordinate with:
o Clients
o Architects
o Project Management Consultants (PMC)
o Structural & other agencies
• Follow up for required inputs such as:
o Architectural drawings
o Structural drawings
o Load data
o Vendor inputs
o Site conditions
• Document meeting minutes and circulate MOM within 24 hours.
4. Internal Team Coordination
• Ensure complete project inputs are shared with design engineers in advance.
• Clarify technical queries by coordinating with respective consultants.
• Track internal design progress.
• Ensure drawings are reviewed before submission.
• Coordinate with Quality team before final submission.
5. Documentation & Drawing Control
• Maintain drawing registers.
• Ensure version control of drawings.
• Keep track of revisions and approval history.
• Ensure submission records are properly archived.
6. Technical Understanding
• Read and understand AutoCAD drawings.
• Identify missing information in architectural or structural drawings.
• Support design engineers with documentation control.
Required Skills & Qualifications
• BE / Diploma in Mechanical / Electrical / Civil Engineering.
• Basic knowledge of MEP systems.
• Proficiency in MS Excel, MS Project (or equivalent).
• Working knowledge of AutoCAD (drawing reading mandatory).
• Strong communication skills.
• Good follow-up and coordination ability.
• Structured and disciplined work approach.

KRA 1: Timely Project Delivery Support Ensure projects are delivered as per schedule without coordination delays. KRA 2: MIS Accuracy & Reporting Discipline Maintain accurate and updated project tracking systems.
KRA 3: Dependency Management Ensure required inputs from clients/consultants are collected in advance.
KRA 4: Internal Communication Efficiency Ensure zero confusion in design team due to missing or unclear inputs.
KRA 5: Documentation & Drawing Control Maintain systematic document management without errors.
