Position Title: Program Associate
Full Time Job: 8 hours a day with flexibility to work between 7 PM to 10 PM IST, included in the 40 hour work week and over weekend for running scholar training programs
Location: Chennai
Mode: Hybrid (2 days a week in Nungambakkam office - other days can be remote)
Work Experience: 1-3 years experience in Program Coordination
Salary Range: Rs.20,000 - Rs.24,000 per month (Indian Rupees) (Based on experience)
Key Responsibilities
Scholar Wellness & Placement
- Coordinate Scholar Wellness Interviews twice a year with team members and volunteers; analyze findings and help launch new support programs such as counselling
- Coordinate with team members, the board, and career organizations to support placement of unplaced graduated scholars; keep placement status frequently updated
Alumni & CSR Volunteering
- Coordinate Alumni programs, including the Alumni Survey and other initiatives, alongside the existing Alumni Board
- Coordinate a Training and Mentorship Program connecting 50–100 corporate volunteers with 50–100 Shooting Stars Scholars
Training & Reporting
- Identify the right scholars for each training batch and coordinate with interns to confirm participation
- Audit WhatsApp groups and maintain weekly follow-up and communication
- Prepare training reports (pre- and post-assessment data) and coordinate with training vendors
Help Desk & Data Audit
- Handle training-related queries, keep the FAQ updated, and train the scholar help desk lead
- Coordinate with interns to audit wellness, placement, and training data in SFDC or the new system
Requirements
- 1-3 years’ experience in NGO or relevant field with similar admin role
- Spontaneous push to close attitude of all projects
- Attention to detail is extremely important
- Fast paced project experience is a must
- Creating and maintaining SOP / Workflows for processes is a MUST
- Passion for community service, especially in the field of education
- Strong stakeholder coordination skills across scholars, board members, volunteers, and vendors
- Highly organized, with excellent data hygiene and follow-up discipline; comfortable with trackers and CRM systems (SFDC or similar)
- Excellent English communication skills - both written and oral
- Empathetic and comfortable engaging with scholars on wellness topics
- Prior experience in program coordination, CSR, training, or scholar/student engagement is a plus (not mandatory)
- Working knowledge of Google Drive / Excel / Word / Email etc. (You will be tested in this)
- Own a laptop or system at home with internet connection - Online work / Telephone work
