Company Description
DKMS Asia Pvt. Ltd. is a PLC (for profit) and a service provider for DKMS entities in and outside of India. The organization will be responsible for Marketing and Communication activities: raising awareness, educating and informing the public about the “cause” through online and offline mediums (advertisements in mass media such as print, radio, television, outdoor, etc.) to register potential donors (who will be registered at DKMS India). DKMS Asia will also provide Shared Services (HR/Finance/IT/Administration).
Role Description
DKMS Asia is seeking an experienced and highly motivated Procurement Specialist to oversee and enhance the efficiency of our procurement. Reporting directly to Managing Director of DKMS Asia Pvt Ltd.As a procurement specialist, you will be responsible for handling the procurement process, sourcing suppliers and managing vendor relationships to ensure a seamless supply chain and optimise costs. You will also collaborate with cross-functional teams, make strategic decisions and implement best practices within our procurement function.
Key Responsibilities
- The Procurement specialist is responsible for overseeing all procurement activities within the organization.
- This includes sourcing, negotiating, and purchasing goods and services in a cost effective and timely manner while ensuring quality and compliance.
- Identify, evaluate, and onboard reliable suppliers/vendors while maintaining long-term partnerships
- Oversee the day-to-day purchasing activities, including the issuance of purchase orders and tracking delivery schedules
- Order online registration materials for Data Management (online registration form, packing materials, shipment boxes, etc.)
- Order IT equipment’s (notebooks, mobile phones, monitors and other accessories, etc.)• Order necessary material for Donor Request Management (shipment materials, test tubes, shipment labels, cooling boxes, etc.)
- Order office registration materials for Donor Recruitment (registration materials, shipment boxes, shipment labels, buccal swabs, etc.)
- Order necessary materials for Administration department (Human Resource, Finance, Legal, etc.)• Order necessary materials for DKMS LSL, Kolkata (related to Laboratory, Administration, etc.)
- Coordinate with internal teams/departments to determine current and future procurement needs• Coordinate for international shipments and visit Customs (as and when required)
- Ensure all purchase requisitions are accurate, cost-effective, and aligned with budgetary constraints• Maintain accurate records of purchased items, pricing, and delivery details
- Address discrepancies in invoices, shipments, or quality issues promptly and effectively• Collaborate with Finance, Admin, and different teams to streamline workflows2
- Foster cross-functional communication to ensure timely delivery
- Analyse market trends and identify opportunities to reduce procurement costs
- Implement inventory control systems and procedures
- Negotiate contracts, terms, and pricing to optimize cost savings and value for money
- Develop, review and revise department Standard Operating Procedures (SOPs)
Key Skills:
- Understand procurement needs across the organization.
- Establishing a centralized procurement policy for unified ordering.
- Strong oral & written communication skills.• Strong negotiation and analytical skills
- Able to work on own initiative.
- Previous knowledge of procurement or ERP systems (e.g., SAP, ZOHO)
- Flexible approach with the ability to adapt to new and changing situations.
- Proficient in the use of MS Office (Outlook, Word, Excel and PowerPoint)
Qualifications
- A Graduation or Post Graduation with a detailed knowledge of procurement management
- 5+ years of experience in a comparable role.
