Role: Procurement Assistant with experience in IT and Non IT procurement
Location: Panchsheel Park, New Delhi
Type: Full Time
Work Days: Monday to Friday
Purpose of Role:
The Procurement Assistant will provide end-to-end procurement support across the organization, assisting in sourcing, purchasing, and supplier management activities. The role ensures that all procurement processes are carried out efficiently, accurately, and in compliance with organizational policies. This position will be responsible for coordinating supplier interactions, monitoring deliveries, and maintaining procurement records.
Key Responsibilities
Procurement Processing & Supplier Coordination
•Review incoming Purchase Requisition Forms (PRFs) and clarify details with requestors if needed.
•Prepare detailed requisitions including scope of work, specifications, and drawings (if applicable).
•Identify potential suppliers and send enquiries for pricing.
•Arrange site visits with suppliers based on the nature of the request.
•Follow up with suppliers for quotations, samples, service agreements, deliveries, and invoices.
•Submit technical specifications for approval by the relevant department to ensure requirements are met.
Evaluation & Order Management
•Evaluate supplier quotes and assist in negotiating prices, payment terms, and delivery timelines to ensure best value
•Prepare comparison reports to evaluate different products and services.
•Issue Purchase Orders (POs) once the comparison statement is approved.
•Send LPOs to relevant internal and external parties.
Monitoring, Payments & Record Keeping
•Coordinate with accounts for timely payments.
•Follow up with stores for GRNs and ensure proper documentation.
•Maintain accurate procurement records and ensure compliance with internal policies.
•Coordinate with other departments as required to support procurement and operational needs.
Interdepartmental coordination
•Act as a key point of contact for internal departments and suppliers regarding procurement queries.
•Ensure timely and professional communication to support organizational requirements.
Essential Qualifications & Experience
•Bachelor’s degree , Supply Chain, Logistics, or a related field (preferred).
•3 years experience in procurement, purchasing, or supply chain support roles.
•Familiarity with procurement processes, vendor management, and purchase order systems.
