Job Title: Procurement Specialist – Pharma/Biotech (QPS)

 

Location: Bengaluru, India 

Reports To: Chief Business Officer

Position Overview

The Procurement Specialist will be responsible for end‑to‑end sourcing, contracting, and vendor management , Procurement and Spend (QPS) services for small and mid‑sized pharma and biotech clients. The role will ensure that external partners, tools, and services are procured at optimal cost, quality, and risk profile, in line with client requirements, GxP expectations, and processes

 

Key Responsibilities

  1. Sourcing and Procurement Operations
  • Manage the full procurement lifecycle for assigned categories (e.g., CROs, CMOs, labs, technology tools, professional services) from requirement definition to PO.
  • Identify, evaluate, and shortlist suppliers based on cost, quality, capability, compliance, and service levels.
  • Run RFI/RFP/RFQ processes, consolidate responses, and support comparative analysis and recommendations for client and internal stakeholders.
  • Create, review, and process purchase requisitions and purchase orders in line with internal approval workflows and client delegations of authority.

 

  1. Contracting and Compliance
  • Support the negotiation of commercial terms (pricing, discounts, rebates, payment terms) under the guidance of Procurement/Legal/BD leads.
  • Coordinate inputs for Master Service Agreements (MSA), Quality/Technical Agreements, and Statements of Work (SOWs) to ensure alignment with scope and QPS requirements.
  • Ensure that procurement activities comply with applicable policies, client SOPs, and relevant GxP/GMP expectations where services impact regulated activities.

 

  1. Vendor and Performance Management
  • Maintain accurate supplier master data, contract records, and performance KPIs (cost, quality, delivery, responsiveness).
  • Monitor supplier performance, coordinate periodic business reviews, and support remediation plans where service levels or compliance are at risk.
  • Support vendor risk assessments (financial, operational, compliance) and inputs into vendor qualification/approval workflows.

 

  1. Spend Analytics and Optimization
  • Track spend across assigned categories, identify saving opportunities (consolidation, alternative sourcing, renegotiation, specification optimization), and support business cases.
  • Prepare periodic dashboards and reports (savings, contract coverage, cycle time, deviations) for internal leadership and, where applicable, for client governance forums.
  • Collaborate with Finance and QPS project teams to resolve invoice/PO mismatches, credit notes, and accruals issues.

 

  1. Stakeholder Collaboration and Process Improvement
  • Partner with internal QPS project managers, Quality, Finance, and Business Development teams to understand requirements and plan sourcing strategies.
  • Provide guidance and training to internal users on procurement processes, templates, and tools (e‑sourcing, contract repositories, ERP/procurement systems).
  • Contribute to continuous improvement of procurement SOPs, templates, and checklists, with a focus on standardization and scalability for multiple clients.

 

Required Qualifications

  • Bachelor’s degree in Supply Chain Management, Commerce, Business, Life Sciences, Engineering, or related field.

 

  • 7–8 years of experience in procurement / sourcing / category management, preferably in pharma, biotech, healthcare, or life‑sciences services.

 

  • Hands‑on experience running RFP/RFQ processes, negotiating basic commercial terms, and managing PO and contract workflows.

 

  • Familiarity with GxP/GMP environments and the impact of supplier performance on quality and compliance is strongly preferred.

 

  • Strong analytical skills with proficiency in Excel and experience with ERP/procurement tools (e.g., SAP, Oracle, Coupa, Ariba, or similar).

 

  • Excellent communication and relationship‑building skills, with the ability to work with internal teams and external vendors across geographies.

 

  • Organized, detail‑oriented, and comfortable managing multiple concurrent requests and deadlines.

 

Preferred attributes

  • Experience supporting procurement transformation or QPS‑type initiatives (cost optimization, vendor consolidation, category strategies) for pharma/biotech clients.

 

  • Exposure to vendor qualification, audits, and quality/technical agreements.

 

  • Understanding of international sourcing, Incoterms, and basic import/export considerations for life‑science materials or services.

 

  • Comfort working in a fast‑paced, entrepreneurial environment with global stakeholders and evolving processes.
