About the role

About the Department

The primary function and purpose of this position is as a technical service library assistant. The incumbent’s primary responsibilities involve database maintenance on several files of the library’s automated system (GeniePlus) and its library applications. General duties also include processing of mail, books, and media, labeling and shelving, and inventory control of the courtroom and chambers collection. Other duties include equipment maintenance and troubleshooting, bookkeeping, ordering, filing, word processing, and serving at the reference desk.

Position Duties

Duties include, but are not limited to:

  • Maintains accurate bibliographic holdings records for print and electronic legal resources. 
  • Processes new acquisitions, including labeling and shelving of legal texts, statutes, reporters, and periodicals.
  • Updates and maintains legal materials, including supplements, pocket parts, and loose-leaf services.
  • Monitors and verifies the currency of legal publications.
  • Assists in developing and maintaining technical services, procedures, and documentation.
  • Tracks serials and standing orders for legal updates and continuations.
  • Communicates with vendors and publishers regarding missing or delayed materials
  • Purges outdated or superseded legal materials in compliance with retention policies.
  • Conducts inventory and shelf-reading to ensure proper organization and accessibility.
  • Provides reference support by directing patrons to appropriate legal resources using print and digital databases such as the library’s website, catalog, Westlaw, and Lexis.
  • Assists patrons with library equipment and services, such as scanning, printing, and copying.
  • Prepares reports on collection usage and inventory.
  • Reports equipment malfunctions and coordinates repair arrangements with vendors.
  • Ensures the department has sufficient supplies.
  • Ensures compliance with court policies, confidentiality standards, and legal research protocols.
  • Performs other job-related tasks as assigned.

Minimum Qualifications

Education: High school diploma or G.E.D. certificate with coursework in typing, office practices, or other related clerical subjects. The candidate should have at least 1 year of law library experience. 

Equivalency: An equivalent combination of education, experience, and training which provides the required knowledge, skills, and abilities may be considered

Knowledge of: Specific library routines and procedures; proficiency with Microsoft Office applications.
