<strong>WHAT YOU WILL DO<br></strong><br>
</div><div>You will oversee <strong>daily clinic operations across front office, back office, and procedural flow</strong>, ensuring the entire system runs efficiently and consistently.<br><br>

<strong>OPERATIONAL LEADERSHIP<br></strong><br>

<li> Supervise front office and administrative staff to ensure accountability and performance standards </li>
<li> Monitor daily workflow including check-in/out, scheduling, phones, and insurance verification </li>
<li> Identify and resolve operational bottlenecks in real time </li>
<li> Serve as primary escalation point for staff and workflow issues </li>
<li> Ensure smooth coordination between front office, clinical staff, and providers </li>

<strong>STAFF MANAGEMENT & SCHEDULING<br></strong><br>

<li> Build and manage staff schedules based on provider and patient demand </li>
<li> Coordinate PTO, call-outs, and coverage adjustments </li>
<li> Ensure appropriate staffing levels at all times </li>
<li> Align staffing structure with clinic volume and operational needs </li>
<li> Support onboarding and training of new team members </li>

<strong>PROVIDER & CLINICAL SUPPORT<br></strong><br>

<li> Partner with providers to ensure smooth daily clinic flow </li>
<li> Support procedural scheduling and adjustments </li>
<li> Communicate schedule changes and clinic updates clearly to staff </li>
<li> Anticipate provider needs to reduce delays and interruptions </li>

<strong>PATIENT EXPERIENCE & SERVICE QUALITY<br></strong><br>

<li> Maintain a consistent, high-quality patient experience from arrival to departure </li>
<li> Address patient concerns and service recovery when needed </li>

<strong>COMPLIANCE & CONTROL<br></strong><br>

<li> Ensure strict adherence to HIPAA, OSHA, and internal policies </li>

<li> Coordinate vendor communication and service delivery issues </li>

<strong>REVENUE CYCLE SUPPORT<br></strong><br>

<li> Support front office with payment collection processes </li>
<li> Assist with billing questions and patient financial concerns </li>
<li> Partner with RCM teams to resolve operational billing issues </li>
<li> Help reduce friction between clinical operations and revenue cycle workflows </li>

<strong>TRAINING & CROSS-DEPARTMENT LEADERSHIP<br></strong><br>
</div><ul>
<li> Work closely with Practice Administrator, HR, RCM, and clinical leadership </li>
<li> Support onboarding, training, and ongoing staff development </li>
<li> Reinforce SOP adherence across departments </li>
<li> Help drive consistency in performance and workflow execution </li>

<strong>QUALIFICATIONS<br></strong><br>

<li> Bachelor’s degree in healthcare administration, business, or related field preferred </li>
<li> 3+ years medical office management or supervisory experience </li>
<li> Experience with <strong>eClinicalWorks (eCW) or similar EMR system</strong>
</li>
<li> Strong understanding of pain management terminology and workflows </li>
<li> Proven leadership, communication, and organizational ability </li>
<li> Ability to manage people, processes, and priorities simultaneously </li>
