Job Title: Facilities Assistant

Classification: Full-Time, hourly non-exempt

Pay Range: Dependent on relevant experience

Reports to: Facility Maintenance Coordinator

Schedule: Monday - Friday, 8am- 5pm (occasional evenings/weekends as needed) 

Location: In-Office (no remote), 5000 N Basin Ave., Portland, OR 97217

General Summary:

The Facilities Assistant is a hands-on position that is responsible for making sure the building and grounds are maintained, which entails daily and weekly cleaning schedules and well as ensuring repairs, renovation, waste removal and safety inspections are completed in a timely manner. The facilities assistant will work directly with management, building tenants, vendors and custodial staff.


Key Responsibilities:

Maintenance Support:

  • Assist with routine maintenance tasks, including minor repairs, upkeep of building systems (e.g., plumbing, electrical, HVAC, pneumatics), and inspections of fixtures, tools, and equipment like forklifts, pallet jacks, overhead doors, roofing/gutters and irrigation systems.
  • Monitor and report maintenance issues or safety hazards to the Facility Coordinator, including providing support for equipment operators and general staff needs (e.g., production equipment, office infrastructure, warehouse operations).

Vendor Coordination:

  • Coordinate with external vendors for services in HVAC, electrical, plumbing, pneumatics, roofing and specialized maintenance and repairs, (e.g., storm drains, pest control).
  • Ensure timely and efficient completion of vendor services, including scheduling inspections and certifications.

Facility Management & Compliance:

  • Maintain and organize a clean facility, including common areas, restrooms, office spaces. Assist with racking installation/modification, recycling/electronic waste programs, and tenant spaces; setup/teardown of events, meetings, and office rearrangements.
  • Support key compliance programs, including annual testing/reporting for fire alarms, sprinklers, hydrants, extinguishers, hazardous waste, Superfund site monitoring reports, lift stations and backflow devices.

Inventory & Safety Management:

  • Monitor and manage inventory of facility supplies, cleaning materials, maintenance tools, and parts; order and restock as needed with record keeping.
  • Ensure compliance with safety regulations, company policies, and emergency preparedness (e.g., first aid/AEDs, fire systems); conduct routine inspections and support preventative maintenance.

Supervisory Responsibility: This position has no supervisory responsibilities.

Requirements

Required Qualifications

  • High school diploma (or equivalent GED), or relevant knowledge.
  • Proven experience (1-3 years) in facility maintenance, property management, or a similar hands-on role, including use of tools/equipment and basic repairs.

Preferred Qualifications

  • Computer literate with working knowledge of Microsoft Word and Excel
  • Strong organizational, multitasking, and problem-solving skills with attention to detail.
  • Excellent communication and interpersonal abilities for vendor/team coordination.
  • Basic knowledge of maintenance tools, equipment, and compliance programs (e.g., safety inspections, inventory tracking).
  • Ability to work independently and as part of a team in a dynamic environment.
  • Physically fit: Able to perform demanding tasks, including extended walking, vertical ladder climbs daily, and lifting/moving heavy objects (up to 50 lbs).
  • Flexible hours, including evenings/weekends, may be required. 

Core Competencies

  • Dexterity: Building maintenance technicians must have good hand–eye coordination to use hand and power tools safely and to repair or attach components correctly.
  • Stamina: Most building maintenance technicians are on their feet most of the time and must have the stamina and athleticism to work long days and lift heavy equipment.
  • Customer service: Building maintenance technicians interact with supervisors, customers and tenants frequently. They should be friendly, approachable and able to communicate issues clearly.
  • Problem-solving: These jobs frequently involve diagnosing and repairing problems. When they receive a report that something’s not working, they must use their mechanical knowledge and critical thinking to determine the most effective way to fix it.
  • Time management: These technicians often complete a variety of maintenance tasks each day and must be able to efficiently diagnose and repair to address the next issue on their list.

Additional Details 

Work Environment: Fast-paced warehouse/manufacturing/industrial setting with exposure to tools and equipment. Work to be performed occurs indoors and outdoors in varying weather. 

Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand and sit; walk; use hands and fingers, handle or feel; reach with hands and arms; and push carts. The employee is frequently lifting, climbing, and performing physical labor. The employee must frequently lift and move up to 10 pounds and occasionally lift and move objects up to 50 pounds. The employee is occasionally required to stoop or kneel. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
