Job Description:
About The Role
We are a US-based technology advisory team that helps clients navigate complex programs across strategy, delivery, and operations. We are a small, close-knit team that moves fast and we are growing. We are looking for an Operations Coordinator based in India to work alongside us as a true team member.
This role blends structured execution with supporting higher-judgment work through solid research and formatting. You will own a defined set of recurring tasks that keep our sales pipelines, project data, resource capacity views, and communications humming - and you will pitch in on more analytical and knowledge-building work as the team needs it.
This is an active, high-ownership role. We want someone who flags anomalies proactively, surfaces stale data before it becomes a problem, and pushes open loops to close.
What You Will Own
Responsibilities
Sales Pipeline and Data Hygiene
- Maintain the central sales pipeline view - update stages, owners, close dates, and next actions on the weekly basis
- Enter new opportunities within 24 hours of being flagged by the US team
- Draft and send pre-sub-practice call pipeline confirmation emails from template
Project and Delivery Tracking
- Maintain the Active Projects dashboard - update end dates, budget remaining, and health status
- Update Float weekly to ensure staffing reflects current reality
- Reconcile Float against the project dashboard
- Surface weekly budget vs. actual hours variances
- Log, track, and escalate stale action items from leadership calls
Capacity and Staffing Data
- Maintain the capacity view connected to Float - availability, current assignments, and upcoming free dates
- Run weekly by-person staffing updates
- Track and reconcile billable hours on the Thursday submit / Friday validate / Monday distribute cycle
Knowledge Infrastructure
- Run a weekly Notion cleanup pass - archive stale content, fix broken views, audit new additions
- Monitor SharePoint and flag stale, broken, or misplaced content
- Maintain the Context Index - the registry of team artifacts
- Ensure every file has a single canonical home and is stored correctly
Presentation and Slide Support
- Provide ad hoc slide support for the team - formatting, assembly, and version management of decks across various engagements and internal purposes
What Great Looks Like
- Completes recurring responsibilities on schedule maintaining consistent cadences across all assigned workflow.
- Identifies and escalates anomalies and data discrepancies proactively
- Delivers well-structured, formatted work products
- Develops fluency with the team's operating cadences, treating weekly, monthly, and quarterly rhythms as core to the role.
- Communicates clearly and proactively, surfacing blockers or delays in a timely manner rather
What You Bring
- 3+ years of experience in an operations, project coordination, or executive support role - ideally at a consulting, advisory, or professional services firm
- Strong command of tools like Notion, SharePoint, and Float (or comparable project/staffing tools)
- Experience working with CRM or pipeline data (D365 or similar)
- Strong command over Microsoft PowerPoint
- Comfort building and maintaining dashboards, trackers, and structured data views
- Excellent written English - you will be formatting and distributing external-facing communications
- Strong attention to detail and a low tolerance for stale or broken data
- Ability to work independently with minimal supervision on structured recurring tasks
- Some overlap with US Eastern or Central time (2-3 hours minimum) is preferred
- Bonus: experience supporting a US-based team remotely
Tools You Will Use
Notion, Microsoft D365, Float, SharePoint, Microsoft Office (Word, PowerPoint, Excel), and internal communication tools. You do not need to be an expert in all of these on day one, but you should be able to come up to speed quickly.
