We're looking for a Records Management Intern to join the Port of Portland!

Join our team for a graduate-level internship where history meets innovation. As a Records Management Intern at the Port, you’ll gain real-world experience in processing historic record collections, digital preservation, and other projects that support government transparency and public access to information. You’ll work closely with experienced professionals, digitizing historic documents and photographs, enhancing metadata through crowdsourcing, and using cutting-edge digital asset management tools. Whether you're organizing records collections or supporting special projects, your work will have a lasting impact. To be considered for this intern position you must be a current student and be available to work in-person at our Port of Portland Headquarters for the duration of employment. Spring 2026 graduates will not be eligible for this internship unless documentation of continued educational classes (graduate school documentation related to the field) can be provided at the time of application.

Duration: This flexible, part-time position is expected to conclude on or around February 28, 2027. The selected candidate must be able to work full-time during the summer break and 12-16 hours per week on-site at the Port office on Tuesdays, Wednesdays, or Thursdays.

Position Duties

  • Assist in the processing and cataloging of archival collections, which may include photographs, slides, and other historic documents.  
    • Digitize documents and images to ensure easy access to information. 
    • Conduct research to create more robust indexes, comply with copyright laws, and support archival collections. 
    • Assist in the crowdsourcing of metadata using internal and external channels. 
    • Utilize the Port’s digital asset management system to facilitate organization and access to the historic photo collection in support of the Port’s government transparency goals. 
  • Assist in responding to requests for records or information. 
  • Support special projects as assigned. 

Minimum Qualifications

Education and Experience: 

  • Currently enrolled in an accredited college or university and seeking a degree in library science, archival studies, or records management.
  • A masters degree is a plus! 
  • Student must also provide current unofficial transcript at time of application. 
  • Maintenance of a minimum 2.5 grade point average and enrollment in classes pertinent to the internship is required.

  • Proficiency in Microsoft Office and related software.

Other Qualifications

  1. A minimum qualifications evaluation of education, training, and experience of submitted application will take place by Human Resources the week of April 27, 2026.

  2. A subject matter expert (SME) panel will evaluate experience and training based on your application materials, including any responses to the supplemental questionnaire.

  3. Our goal is to schedule in-person panel interviews with candidates that successfully passed the SME evaluation step as soon as possible. The successful candidate will be notified after interviews are complete, with a tentative start date in June 2026 and sunset date on/around February 28, 2027.
