About the role

Role: Executive Assistant to the Chief Technology Officer (CTO)

Employment Type: Full-Time

Educational Qualification:

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Additional certifications in office administration, executive assistance, or related areas are a plus.

Work Experience:

  • 3-5 years of experience as an Executive Assistant, preferably in a technology-focused or aerospace environment.
  • Prior experience in managing schedules, travel, and administrative tasks for senior executives.

Role Description:

The Executive Assistant to the CTO will act as a critical support pillar for the CTO's office, ensuring smooth operation by managing schedules, facilitating communications, and overseeing logistics. This role is integral to maintaining the CTO's focus on core strategic and technical responsibilities while ensuring organizational efficiency.

Responsibilities & Duties:

  • Plan, organize, and coordinate the CTO’s daily schedule, ensuring alignment with business priorities.
  • Organize internal and external meetings, including preparation of agendas and follow-ups.
  • Manage end-to-end travel arrangements, including flight bookings, accommodations, and itineraries for domestic and international trips.
  • Handle expense tracking and reporting related to travel and office operations.
  • Manage communication on behalf of the CTO, including email correspondence and meeting requests.
  • Prepare presentations, reports, and documents as required by the CTO and handle confidential information with integrity and discretion.
  • Assist in organizing workshops, conferences, and team events for the CTO’s office.
  • Ensure proper communication with stakeholders and participants for seamless event execution.

Desirable Skills & Certifications:

Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and scheduling tools like Google Calendar or similar platforms.

  • Experience with project management tools like Asana, Trello, or Jira.
  • Strong organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Certification in Executive Assistance or Office Management is a plus.

  • Proactive and highly resourceful problem solver with a strong sense of accountability.
  • Demonstrates the ability to multitask and prioritize in a fast-paced, dynamic environment.
  • Maintains professionalism and a high level of confidentiality.
