Pima Community College is seeking a dedicated and detail-oriented Office Aide to support the Human Resources Department on a temporary, part-time basis. This position offers an opportunity to gain valuable experience in a professional office setting, specifically focused on confidential document processing. The primary responsibility of the Office Aide will be to assist in the digitization of personnel records, ensuring that paper documents are accurately scanned, classified, and stored within a secure digital network. Additional duties will include managing records, organizing files, and providing general office support, and assisting with data entry.
Note: Schedule availability to work anytime between 8:00 AM - 5:00 PM (Monday-Friday), at least two days per week in Human Resources; other hours/shifts are flexible during operational hours only.
The work schedule for this position may include working evenings and weekends.
About Temporary Employment:
This position has 2 vacant positions and will establish a qualified applicant pool for part-time temporary positions. Applications will remain active for 6 months to a year and selected candidates may be contacted as positions become available or when immediate staffing needs arise. Placement in the pool does not guarantee employment. The applicant pool will be refreshed annually.
Temporary applicants may be hired for specific assignments or placed in an applicant pool for future opportunities, depending on enrollment levels and business needs. If selected from this pool of applicants, candidates contacted will receive details regarding the specific assignment and will have the opportunity to confirm interest and availability.

Position Duties
Assist in the scanning, organizing, and archiving of confidential Human Resources documents
Maintain accurate databases and spreadsheets related to personnel records.
Perform data entry with attention to detail and ensure the completeness and accuracy of information
Creating documents/files and storing document using Google Workspace
Support the organization and retention of Human Resources records
Manage equipment, inventory, and materials related to office operations
Perform general office duties such as answering phones, replying to emails, and scheduling appointments
Performs all other duties and responsibilities as assigned or directed by the supervisor
Minimum Qualifications
High school diploma or General Equivalency Degree (GED)
1 year of related office experience, college work experience, and/or experience working in a professional setting
Available to work 19.5 hours a week ( flexible shifts when needed)
Preferred:
One (1) to three (3) years of related experience with record keeping and technology
Experience in document management, have a strong attention to detail, and be familiar with basic office procedures and technology
Other Qualifications
The ideal candidate will have the following:
Knowledge of Google Workspace (Gmail, Docs, Sheets, Drive, Calendar, and Meets)
Knowledge of document management, have a strong attention to detail, and be familiar with basic office procedures and technology
Skill in effective communication (both written and oral)
Skill in organization, coordination, and management of confidential files
Ability to apply effective and accurate data entry and typing skills
Ability to develop and maintain effective and positive working relationships
Ability to operate relevant equipment required to complete assigned responsibilities for the position
Ability to adhere to College standards and practices
Ability to manage own time and work independently
