About the role
A leading privately owned global retail group with a strong multi-channel presence is seeking a highly capable and proactive Personal Assistant to support the Business Owner in Mumbai, India. This role offers a dynamic, fast-moving work environment with exposure to multiple aspects of a rapidly expanding business.
We are specifically looking for candidates who come from an entrepreneurial background and are comfortable working in a similar high-growth, hands-on setup.
Key Responsibilities
- Provide comprehensive executive support, managing the Business Owner’s schedule, priorities, and day-to-day coordination with a high level of discretion.
- Lead end-to-end global travel management, including planning detailed itineraries, booking flights and accommodations, handling visas, and ensuring seamless travel experiences.
- Maintain and proactively manage the travel calendar, ensuring alignment with business and personal commitments.
- Oversee passport renewals, visa applications, and all travel-related documentation for the Business Owner and family.
- Coordinate household operations, working closely with staff to ensure smooth day-to-day functioning and readiness for travel or guests.
- Manage and update country club memberships, loyalty programs, and reward points across airlines and credit cards.
- Act as a key liaison across stakeholders while handling sensitive information, administrative tasks, and special requests with efficiency and confidentiality.
Compensation: Up-to INR 2,50,000 per month (based on experience), with a preference for candidates experienced in global travel management.
Qualifications:
- 10 - 15 years of experience supporting senior leadership at the C-suite level, with exposure to working alongside expatriate executives across multiple time zones and geographies.
- Strong command of English, both written and verbal, combined with excellent stakeholder management skills and the ability to act as an effective gatekeeper.
- Technologically adept, with proficiency in modern tools and advanced expertise in Microsoft Office (Excel, PowerPoint, Word, Outlook).
- Highly proactive and solution-oriented, with the ability to anticipate needs, think creatively, and handle evolving priorities with independence and agility.
- Detail-focused, resilient, and service-driven, capable of managing tight deadlines while staying composed and efficient in fast-paced environments.
