Job Summary
We are looking for a proactive and highly organized Personal Assistant (PA) to support senior management in the exhibition and events industry. The ideal candidate will manage schedules, coordinate meetings, handle communication, support exhibition planning activities, and ensure smooth day-to-day operations before, during, and after exhibitions.
The role requires excellent coordination skills, multitasking ability, vendor follow-ups, client communication, and willingness to work in a fast-paced event environment.
Key Responsibilities
Administrative Support
* Manage calendars, appointments, meetings, and travel arrangements
* Handle emails, calls, correspondence, and follow-ups
* Prepare presentations, reports, MOMs (Minutes of Meeting), and documentation
* Maintain confidential files and business records
Exhibition & Event Coordination
* Coordinate with exhibitors, vendors, agencies, and venue teams
* Assist in exhibition planning, stall allocation, registrations, and logistics
* Track deadlines, event schedules, and operational requirements
* Support on-ground execution during exhibitions and events
* Arrange meetings with clients, sponsors, and partners
Client & Vendor Management
* Follow up with clients for payments, documents, and approvals
* Coordinate with printers, fabricators, designers, hotels, and transport vendors
* Maintain vendor and client databases
Travel & Logistics
* Book flights, hotels, local transport, and event travel itineraries
* Support VIP guest and delegate coordination
* Handle last-minute operational requirements during events
Office Coordination
* Maintain office supplies and internal coordination
* Assist HR/admin tasks when required
* Coordinate with accounts for invoices and reimbursements
Required Skills & Qualifications
* Bachelor’s degree in Business Administration, Events, Hospitality, or related field
* 1–5 years of experience as PA/EA/Admin Coordinator, preferably in exhibitions/events
* Strong communication and interpersonal skills
* Excellent organizational and multitasking abilities
* Proficiency in MS Office (Excel, PowerPoint, Word, Outlook)
* Ability to work under pressure and meet tight deadlines
* Flexible to travel and work during event days/weekends
Preferred Skills
* Experience in exhibition, trade show, event management, or media industry
* Knowledge of CRM/event registration platform
* Vendor management and client servicing experience
* Basic budgeting and coordination skills
